Key Responsibilities
- Deliver comprehensive administrative support to C-Level Executives.
- Ensure a high level of organization and efficiency in managing schedules, calendars, and daily responsibilities for senior leaders.
- Prioritize and manage incoming communications, including emails, phone calls, and mail.
- Handle sensitive information with utmost discretion, maintaining confidentiality at all times.
- Coordinate and schedule meetings, appointments, and travel arrangements for senior executives.
- Prepare and refine various documents, presentations, and reports for C-Level executives.
- Communicate effectively with both internal and external stakeholders, representing senior leaders in a professional manner.
- Anticipate the needs of C-Level executives and proactively assist in fulfilling those needs.
- Take initiative to streamline processes and enhance efficiency in the daily operations of senior leaders.
- Collaborate with team members to ensure seamless support for senior executives.
- Manage and maintain expense reports and reimbursement processes.
- Act as a point of contact for employees, clients, and external partners regarding matters related to senior leaders.
- Stay informed on company policies, procedures, and initiatives to accurately represent senior leaders.
- Serve as a liaison between senior leaders and other departments within the organization.
Qualifications
- 8-10 years of relevant experience in an administrative support role.
- Professional demeanor with a high level of energy and enthusiasm.
- Excellent verbal and written communication skills, with a focus on building relationships with stakeholders.
- Highly collaborative team player, confident in interacting with senior leaders and intermediaries.
- Ability to effectively prioritize competing tasks and assign urgency levels appropriately.
- Exceptional customer service orientation, with attention to detail and quality outcomes.
- Proactive problem solver with a high degree of resourcefulness and intellectual curiosity.
- Exhibit a high level of integrity and discretion regarding confidential information.
- Proficiency in MS Office Suite, particularly Outlook and Excel.
