As a Customer Service Support Specialist, you will collaborate with various departments including operations, sales, service, parts, and aftermarket services to ensure seamless communication and support for our clients.

Key Responsibilities:

  • Manage and log service inquiries, dispatching technicians as needed.
  • Process daily timecards and assist in payroll preparation.
  • Oversee time tracking for technicians, ensuring compliance with company policies.
  • Open, manage, and close work orders efficiently.
  • Monitor preventive maintenance (PM) tasks to achieve a 100% completion rate.
  • Track and process fleet and warranty service claims.
  • Prepare detailed service quotes for clients and monitor their completion rates.
  • Assist in managing work in progress (WIP) reports to maintain efficiency.
  • Review technician documentation and timecards regularly.
  • Ensure timely dispatch of technicians to keep WIP reports within acceptable limits.
  • Maintain accurate billing and profitability for the service department.
  • Perform additional administrative duties as assigned.

Qualifications:

  • Ability to work independently and as part of a team.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with Adobe Acrobat is a plus.
  • Detail-oriented with strong analytical skills.
  • Excellent verbal and written communication abilities.
  • Strong organizational skills and the ability to manage multiple tasks.
  • Understanding of basic accounting principles is advantageous.
  • Ability to handle high-pressure situations and interruptions effectively.
  • Consistent and reliable attendance is expected.
  • Professional appearance and demeanor.

Working Conditions:

This is an hourly position requiring a commitment of forty hours per week, with potential overtime as necessary.
