Job Overview

Position Summary:

The Finance and Operations Coordinator plays a crucial role in managing various financial, administrative, and operational tasks. This position is integral in supporting the VP of Strategy, Finance & Operations while also serving as the main accountant for the Early Learning Center.

Key Responsibilities:

  • Financial Management:
  1. Oversee the billing system for the Learning Center, ensuring accurate tracking of tuition and fees, and maintain communication with families regarding payments.
  2. Administer CCAP funding for the Learning Center, coordinating with relevant agencies and families to manage authorizations and claims.
  3. Handle additional funding sources, preparing invoices and reports while maintaining communication with associated organizations.
  4. Record and deposit rent payments accurately into the housing accounting system, ensuring timely updates to resident accounts.
  5. Manage staff credit cards, including issuing, canceling, and reconciling monthly statements.
  6. Perform various accounting tasks, including vendor correspondence, filing, grant reporting, and accounts payable support.
  7. Ensure the administrative offices are well-maintained and organized, collaborating with staff and cleaning services.
  8. Assist the VP with administrative tasks related to compliance, documentation, and operational needs.
  9. Act as the primary contact for telecommunication services, managing repairs and staff directories.
  10. Handle daily mail operations and supply ordering for the office.
  11. Oversee contracts related to office equipment services.
  12. Maintain electronic and hardcopy filing systems for organizational records.
  13. Coordinate with offsite storage vendors to manage records retention and access.
  14. Research and recommend software solutions to enhance operational efficiency.
  15. Support the Housing office with resident leasing documentation as needed.
  • Facilities and Safety Management:
  1. Collaborate with the facilities team to source vendors for various services, including cleaning and maintenance.
  2. Manage access controls for residents and staff, ensuring updates in the electronic system.
  3. Assist with vendor documentation and supply orders related to facility operations.
  4. Monitor safety equipment and supplies, ensuring compliance with safety standards.
  5. Conduct regular assessments of facilities to identify safety needs and recommend improvements.

Additional Responsibilities:

Perform other duties as assigned.

Qualifications:

  • Associate's degree in business, accounting, or a related field; equivalent experience may be considered.
  • At least one year of experience in an accounting role with knowledge of financial statements.
  • Prior experience in office administration or operational support is preferred.
  • Proficiency in Microsoft Excel is essential.

Preferred Qualifications:

  1. Fluency in Spanish is a plus.
  2. Experience working with diverse populations.
  3. Background in non-profit organizations is advantageous.

Work Environment:

This position is primarily office-based, with occasional exposure to standard office equipment. The noise level is generally quiet to moderate.

Physical Requirements:

The role requires the ability to communicate effectively, sit for extended periods, and perform various physical tasks such as standing, walking, and reaching.

Travel Requirements:

Limited travel within the metro area may be required.
