Position Overview

The Administrative Project Coordinator plays a crucial role in supporting the designated team or department by facilitating communication, organization, and project management tasks. This position may involve conducting research, preparing and analyzing statistical reports, and contributing to program development and project-based initiatives. Additionally, the coordinator may be responsible for planning, organizing, and scheduling events as needed.

Key Responsibilities

  • Demonstrate proficiency in the professional, clinical, and technical competencies required for the assigned department.
  • Exhibit advanced skills in the MS Office Suite to enhance communication, organization, and project management efforts.
  • Effectively communicate with various departments to ensure all stakeholders are informed of project updates.
  • Support the communication strategy prior to the implementation of system-wide communications.
  • Provide high-level administrative support to the designated department.
  • Foster a collaborative team environment with support staff and executives through regular communication and shared decision-making.
  • Manage and coordinate the calendar for the assigned department.
  • Handle sensitive information with utmost discretion and confidentiality.
  • Work independently at a high level, making sound judgments to maintain operational integrity and demonstrate initiative in task completion.
  • Exhibit strong abilities in planning, organizing, analyzing, and coordinating data and activities.
  • Complete special projects as assigned by management.
  • Act as a liaison to other departments, agencies, and external vendors as necessary.
  • Serve as a primary communicator for all staff levels on behalf of the Director and/or Manager, coordinating and disseminating information to large audiences as required.
  • Assist with payroll coordination, serving as a backup for payroll managers.
  • Oversee scheduling for departmental meetings, including room reservations, materials preparation, and catering arrangements.
  • Review, classify, and file correspondence and documents, maintaining a confidential filing system.
  • Develop and maintain shared folders, documents, and resource lists.
  • Coordinate the maintenance of office equipment and manage the process for purchasing and receiving office supplies.
  • Represent department management in communicating information to various stakeholders as delegated by the Director.
  • Maintain files for contracts, invoices, and accounts receivable/payable processing.
  • These responsibilities are intended to outline the essential functions of the role and are not exhaustive; additional duties may be assigned as necessary.

Required Qualifications

  • High School Diploma or GED.
  • A minimum of 2 years of experience in an administrative professional capacity.

Preferred Qualifications

  • Bachelor's Degree in Health Information Management or a related field from an accredited institution.
  • At least 1 year of experience working with volunteers.
  • Experience in event planning for a minimum of 1 year.

Knowledge and Skills

  • Proficient in reading, writing, and speaking English.
  • Strong computer skills, particularly with Microsoft Office products.
