Position Overview

The Administrative Project Coordinator plays a crucial role in providing comprehensive support to the designated team within the Vascular Services department. This position is responsible for facilitating communication, enhancing organizational processes, and managing various project-related tasks. The coordinator may also engage in research activities, prepare and analyze statistical reports, and contribute to program development and event planning as required.

Key Responsibilities

  • Demonstrate proficiency in the professional, clinical, and technical competencies relevant to the assigned department.
  • Exhibit advanced skills in Microsoft Office Suite to support communication and project management functions.
  • Effectively liaise with multiple departments to ensure all stakeholders are informed of project updates.
  • Assist in the execution of the communication strategy prior to the broader implementation of system-wide communications.
  • Provide high-level administrative support to the assigned department.
  • Foster a collaborative team environment through regular communication and shared decision-making.
  • Manage and coordinate the calendar for the department.
  • Handle sensitive information with utmost discretion and confidentiality.
  • Operate independently, making sound judgments to maintain operational integrity while demonstrating initiative in task completion.
  • Exhibit strong planning, organizational, analytical, and coordination skills.
  • Complete special projects as directed by management.
  • Act as a liaison to other departments, external agencies, and vendors as necessary.
  • Serve as a primary communicator on behalf of the Director and/or Manager, ensuring effective dissemination of information to various staff levels.
  • Assist with payroll coordination, serving as a backup for payroll management systems.
  • Oversee the scheduling of departmental meetings, including logistics and materials preparation.
  • Organize and maintain confidential files and documentation.
  • Develop and manage shared resources and documentation.
  • Coordinate the maintenance of office equipment and manage supply procurement processes.
  • Represent department management in communications with executives, vendors, and community agencies as delegated.
  • Maintain financial records related to contracts and invoices.
  • Perform other duties as assigned, which may vary based on departmental needs.

Education and Experience Requirements

  • High School Diploma or GED.
  • A minimum of two years in an administrative support role.

Preferred Qualifications

  • Bachelor's Degree in Health Information Management or a related field.
  • Experience in volunteer coordination.
  • Experience in event planning.

Knowledge and Skills

  • Proficient in English language skills (reading, writing, speaking).
  • Strong computer skills, particularly in Microsoft Office applications.
