Position Overview

The Administrative Project Coordinator plays a crucial role in providing comprehensive support to the designated team within the Vascular Services department. This position is responsible for facilitating communication, enhancing organizational efficiency, and managing various project-related tasks. The coordinator may also engage in research activities, prepare analytical reports, and contribute to program development initiatives. Additionally, this role includes planning and organizing events as needed.

Key Responsibilities

  • Demonstrate proficiency in the professional, clinical, and technical competencies relevant to the department.
  • Exhibit advanced skills in Microsoft Office Suite to support communication and project management efforts.
  • Effectively liaise with multiple departments to ensure all stakeholders are informed of project updates.
  • Assist in executing the communication strategy prior to significant system-wide announcements.
  • Provide high-level administrative support to the assigned department.
  • Foster a collaborative team environment through regular communication and shared decision-making.
  • Manage the scheduling and calendar activities for the department.
  • Handle sensitive information with utmost discretion and confidentiality.
  • Operate independently with sound judgment to maintain operational integrity and demonstrate initiative in task completion.
  • Exhibit strong planning, organizational, analytical, and coordination skills.
  • Complete special projects as directed by management.
  • Act as a liaison with other departments, external agencies, and vendors as necessary.
  • Serve as a primary communicator on behalf of department leadership, ensuring effective dissemination of information.
  • Assist with payroll coordination and provide backup support for payroll management systems.
  • Oversee the scheduling of departmental meetings, including logistics and materials preparation.
  • Organize and maintain a confidential filing system for correspondence and documents.
  • Develop and update shared resource files and documentation.
  • Coordinate maintenance of office equipment and manage supply procurement processes.
  • Represent department management in communications with various stakeholders as delegated.
  • Maintain accurate records for contracts, invoices, and financial processing.
  • Perform other duties as assigned, reflecting the dynamic nature of the role.

Required Qualifications

  • High School Diploma or GED.
  • A minimum of two years of experience in an administrative role.

Preferred Qualifications

  • Bachelor's Degree in Health Information Management or a related field from an accredited institution.
  • Experience working with volunteers.
  • Experience in event planning.

Knowledge and Skills

  • Proficient in English, both written and spoken.
  • Strong computer skills, particularly in Microsoft Office applications.
