Position Overview

Saint Luke's Health System is in search of a dedicated Executive Administrative Assistant to deliver comprehensive administrative support to the Vice President & Administrator of Crittenton Children's Center and the Behavioral Health Service Line. In this position, you will operate under a supportive leadership framework while independently managing a variety of complex and confidential administrative tasks. Success in this role requires meticulous attention to detail, exceptional customer service abilities, and a commitment to maintaining confidentiality.

Key Responsibilities:

  • Oversee calendars, emails, and task lists, prioritizing critical issues as necessary.
  • Prepare and disseminate agendas, presentations, minutes, and reports for various meetings.
  • Coordinate Board meetings, including the preparation of agendas, presentations, reports, and catering arrangements, while acting as a liaison between Board members and leadership.
  • Manage conference room scheduling and logistics.
  • Arrange domestic travel and accommodations for leadership personnel.
  • Organize onsite events for leadership, Board members, employees, and external organizations as required.
  • Compile and submit expense reports on behalf of the Vice President.
  • Assist clinical and non-clinical departments with various tasks and projects.
  • Maintain both digital and physical filing systems for efficient document management.
  • Monitor and manage office supply inventory.
  • Support organizational preparations for regulatory surveys, including those by the Joint Commission.
  • Collect and organize correspondence and packages for the Vice President/Director.

Qualifications:

  • A minimum of 2 years of relevant administrative experience, preferably at the executive or C-Suite level.
  • Proficient in Microsoft Office Suite, including Excel, Word, PowerPoint, Teams, and OneNote.
  • Experience in supporting Board governance and related activities.
  • A results-oriented professional with outstanding organizational skills.
  • Ability to maintain a friendly, professional demeanor at all times.
  • Commitment to confidentiality regarding protected healthcare and operational information.
  • Exceptional listening and communication skills, both verbal and written.
  • Ability to thrive in a culturally diverse environment.
  • Capable of using independent judgment to plan, prioritize, and manage a varied workload.
