Position Summary The Operations Administrator plays a crucial role in ensuring seamless operations by managing workflows and reporting for project staffing and the firm’s architectural operations team. To succeed in this role, you should have strong organizational skills, excellent communication, adaptability, attention to detail, problem-solving abilities, and a proactive approach to their work ethic. This role will collaborate with internal teams to deliver exceptional results within specified deadlines. Primary Responsibilities: Data Analysis and Reporting:

Develop and regularly prepare a variety of project staffing and operations reports. Generate reports and analyze staffing trends to optimize resource allocations. Requires above-average mastery of Excel for data manipulation and reporting. Develop and present data using visual elements like charts, graphs, and maps to help communicate insights and patterns found in data. Project Onboarding and Transition:

Effectively onboard new projects to the firm. Partner with Marketing and Contracts teams to gather necessary data for project staffing. Transition projects to assigned project managers. Meeting Management: Schedule and prepare information for meetings. Attend meetings to document action items. Ensure follow-through on action items by meeting attendees. Resource Planning and Project Staffing:

Support overall resource planning and project staffing workflows. Ensure projects are staffed in a timely and effective manner. Education/Skills/Experience: Bachelor's degree in Business Administration, Operations Management or related field Minimum 3 years of experience in administrative role Intermediate experience in data analysis, reporting, or business intelligence and data visualization Proficient in the Microsoft Suite, with advanced proficiency in Excel Experience with ERP software such as Deltek Vision, preferred Experience with MS Power BI or other data visualization tools. Strong organizational skills including an aptitude to manage and delegate a multitude of detailed tasks, assignments and changing priorities efficiently with accuracy. Proactive and collaborative by nature, highly motivated and curious to deliver excellent work requiring excellent analytical and problem-solving skills. Effective verbal and written communication skills. Nice to have Experience with Bluebeam and Adobe products. Background in architecture, engineering, construction, or related fields.
