Are you an experienced Administrator who has a background building and maintaining strong member relationships?
The Executive Administrator provides a wide range of high-level administrative and organizational support for members of the senior executive team, ensuring smooth day-to-day operations for the executives of First Commerce Credit Union and performing a wide range of complex and confidential administrative and clerical support duties.
Requirements
- Provides comprehensive administrative support of several senior leaders.
- Plans, coordinates and ensures the executives' schedules are followed and respected. Schedules and arranges meetings, travel and appointments. Handles executives' requests and queries appropriately.
- Provides a bridge for smooth communication between the offices of senior executive team and internal departments as well as external stakeholders, demonstrating leadership to maintain credibility, trust and support with senior management staff. Provides "gatekeeper" and "gateway" role for internal and external stakeholders with a high level of service, creating win-win situations for direct access to the senior executive team's time and office.
- Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the senior executives updated.
- Drafts, composes and prepares professionally formatted correspondence that is sometimes confidential, communicating directly with, and on behalf of senior executive team on appropriate matters.
- Receives calls, takes messages and routes correspondence.
- Researches, prioritizes, and follows up on incoming communications including issues and concerns addressed to the senior executive team, some of which may be of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
- Works independently on projects, from conception to completion.
- Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the executives' ability to effectively lead.
- Manages a variety of special projects, some of which may have organizational impact.
- Develops and maintains an efficient documentation and filing system completing expense reports.
- Assists with meeting logistics.
- Runs errands as needed.
- Functions as part of the executive administrative team, cross-training to provide backup as needed.
Qualifications:
- Proven experience as an executive assistant, administrative assistant, or other secretarial position.
- Minimum of a High School Diploma or equivalent.
- Additional post high school education or qualification as a personal assistant preferred.
- Must have the ability to exercise good judgment in a variety of situations and a fast-paced environment.
- Experience with office management systems and procedures
- Proficient knowledge of Microsoft Office, including Word, Excel, Outlook, Teams, PowerPoint, Adobe Acrobat, Zoom, Doodle, etc.
- Expert level written and verbal communication skills. Proficient in English, including grammar and spelling.
