JOB SUMMARY
This position provides administrative support to the executive, medical staff, and administrative teams. This role deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedure.
ESSENTIAL JOB FUNCTIONS
- Schedule and organize complex activities such as meetings, travel, conferences and department activities.
- Draft written responses or reply by phone or e-mail when necessary. Respond to regularly occurring requests for information.
- Organize and prioritize large volumes of information and calls. Answer phones for the office of the CEO. Take messages or field/answer all routine and non-routine questions. Work in cooperation with others to cover phones.
- Act as a liaison with other departments and outside agencies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs. Handle confidential and non-routine information and explain policies when necessary.
- Work independently and within a team on special nonrecurring and ongoing projects. Act as project manager for special projects, which may include planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating agendas, and taking minutes.
- Type and design general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Support the office in maintenance of the department finances. Activities include: copying check requests and sending to accounts payable travel reimbursement, documenting corporate credit card expenses to corporate finance.
KNOWLEDGE, SKILLS & ABILITIES
- Knowledge of general office best practices.
- Knowledge of HIPAA privacy rules.
- Skill in communicating in a professional manner, both verbally and in writing.
- Skill in planning, organizing, and time management.
- Skill in using a computer and a variety of software, including Microsoft Word, Excel, Access, and Outlook.
- Skill in managing multiple priorities and problem solving.
- Ability to work effectively under pressure to meet established goals and objectives.
- Ability to maintain high levels of professional and personal integrity.
- Ability to convey professional demeanor and sound judgment in dealing with sensitive information and confidentiality.
- Ability to work in a team environment.
- Ability to act as a good representative of the company.
EDUCATION & EXPERIENCE
High school diploma or GED required, Associate Degree in related field preferred. 3+ years of experience as an administrative assistant, preferably to an executive.
