A Glimpse of Africa was founded in 2019 to unite people to showcase, educate, celebrate, and share diverse African cultures while fostering community programs that voice, advocate for, and address African refugees and immigrants' needs and disparities. A Glimpse of Africa's mission is to ensure that African immigrants and refugees are visible, through advocacy, creating a sense of belonging, and breaking language, cultural, and systemic barriers. We are seeking a highly organized and dedicated Office Coordinator with strong attention to detail to join our growing team. Based in Grand Rapids, Michigan our nonprofit believes these essential needs, resources, and opportunities are key to a thriving life as refugees and immigrants plant roots in West Michigan. What You'll Do:

As the Office Coordinator, you'll be the backbone of A Glimpse of Africa, ensuring our daily operations and special projects run smoothly. Reporting directly to the CEO, you'll provide executive assistance, maintain board and committee relationships, and handle general bookkeeping. The ideal candidate will thrive in a fast-paced environment, juggling multiple tasks, managing busy schedules, and delivering exceptional administrative support. This full-time on-site role offers a unique opportunity to make an impact and contribute to a vibrant, culturally-driven mission. Here's what you'll do in this role:

  • Keep Everything Organized: You'll manage the CEO's calendar, schedule appointments, coordinate meetings, and keep track of deadlines. You'll oversee office processes like opening and closing procedures to ensure everything runs smoothly and is up to date. Plus, you'll flex your skills in Google Suite to organize and maintain AGOA's storage and inventory, ensuring everything is where it should be.
  • Be the CEO's Right Hand: With your administrative assistant or similar experience, you'll provide high-level executive support, handling the CEO's confidential information with discretion. This includes managing projects, preparing reports, taking minutes during meetings, and ensuring that our CEO is always informed and prepared. Your keen eye for detail will help keep the CEO and team on track with all their tasks.
  • Drive AGOA's Success: You'll assist in planning and executing our events, from coordinating with vendors to managing budgets. Use your basic knowledge of bookkeeping and financial management to support the preparation of event budgets, make recommendations as necessary, and assist with basic accounts and finance tasks like reconciling receipts and tracking expenses. Your role is crucial in ensuring our projects stay on track, within budget, and are completed on time.
  • Build Strong Relationships: You'll coordinate meetings and communication for the Board of Directors, Core Team, CEO, and Fundraising Committee. This includes managing schedules, sending reminders, arranging catering, and preparing meeting materials. Your role will be essential in fostering strong relationships within our team and with external partners.
  • Support Our Team: You'll organize company events, draft key communications, and flex your skills in Google Suite to manage AGOA's Google Drive to keep everything in order. Whether it's preparing agendas, taking meeting minutes, or ordering snacks for meetings, you'll ensure that our team has everything they need to succeed. Your ability to multitask and manage details will be key to keeping our operations running smoothly.
  • Showcase Your Organizational Skills: You'll use your organizational superpowers, tech-savviness, and strong communication skills to handle every aspect of office coordination with finesse. This includes scheduling and organizing projects, handling technological and miscellaneous needs, composing correspondence, and ensuring the office environment is professional and efficient.
