Position Overview: In the role of Office Coordinator, you will be essential in facilitating the efficient operation of our office environment. Acting as the primary point of contact for clients, visitors, and team members, you will provide vital administrative assistance across various departments. This position demands an individual with strong organizational skills and excellent communication abilities.

Key Responsibilities:

  1. Reception Management:
    • Welcome and assist visitors in a friendly and professional manner.
    • Handle incoming calls, ensuring they are directed to the correct personnel.
    • Keep the reception area tidy and organized.
  2. Administrative Assistance:
    • Support the scheduling of meetings and appointments.
    • Organize travel arrangements for staff and executives.
    • Draft and disseminate internal and external communications.
  3. Document Organization:
    • Maintain both physical and digital filing systems.
    • Assist in the preparation and editing of documents, presentations, and reports.
  4. Facility Management:
    • Oversee the inventory of office supplies and place orders as necessary.
    • Coordinate with facility management for maintenance and operational needs.
  5. Event Planning:
    • Support the organization and execution of company events and meetings.
  6. Visitor and Employee Support:
    • Assist employees with various administrative functions.
    • Ensure a welcoming and professional atmosphere for all visitors and staff.

Qualifications:

  • High school diploma; additional qualifications in office management or a related field are advantageous.
  • Demonstrated experience as an office coordinator or receptionist.
  • Strong communication and interpersonal skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Exceptional organizational and multitasking capabilities.
  • Ability to handle confidential information with care and discretion.
