Your role and impact: As a member of the Client Experience Team, the Administrative Assistant is responsible for providing exceptional admin support for the organization and its clients. You are the first point of contact for us with the outside world and we're hoping everyone can hear your smile through the phone You set the tone for a crazy high standard of customer service and professionalism on which the company prides itself. The Admin Associate ensures the accuracy of information in the client database to provide a seamless hand-off to the in-home sales team. They also support the admin functions of the organization and ensure that these are being handled effectively and efficiently.  


What you'll do:


Client Management


  • Create a great first impression with homeowners
  • Walk homeowners through the scheduling process, while putting their minds at ease
  • Coordinate subcontractor applications
  • Schedule all sales consultations and assign them to the appropriate sales team member based on availability, scope of work, etc.
  • Manage the sales appointment calendar
  • Inform homeowners of all services that the company provides
  • Maintain accurate and updated client records in CRM and applicable internal applications
  • Ensure accurate hand-offs of information to the in-home sales team, to help set them up for success
  • Reach out to previous customers to check in on their project(s) and offer help with any additional work they may have

 

Admin Support


  • Disseminate all incoming calls to appropriate team members
  • Support inter-departmental communications
  • Work cross-functionally with all departments on admin-related responsibilities
  • Assist with general office management functions including ordering, event coordination, and bringing your bright ideas to help us improve our processes



What you’ll need:

  • Proficiency in MS Office and Tools (Outlook, Word, Excel, Teams)
  • Proven experience navigating in a CRM
  • High school diploma or equivalent at minimum required
  • Must be able to work 4 days in our office in Springfield. One remote work day is allowed. This requirement is due to the heavy collaboration this role has with all departments
