Position: Lead Administrative Coordinator

Location: Springfield, MA

Compensation: $25.00-$28.00 per hour based on experience

Work Schedule: 40 hours per week; Monday to Friday, 8:00 AM - 5:00 PM with flexibility for additional hours as required.

Role Summary:

The Lead Administrative Coordinator plays a pivotal role in providing comprehensive administrative assistance to the executive leadership team. This position entails overseeing contract management, scheduling, maintaining various spreadsheets, procurement tasks, and ensuring timely updates of contracts and documentation through regular monitoring of state portals. Additionally, this role supports the human rights committee and offers general administrative assistance.

Key Responsibilities:
  • Prepare agendas and notes for Leadership Team meetings.
  • Organize and input data into Excel spreadsheets.
  • Manage scheduling for the Chief of Staff.
  • Oversee purchasing tasks and monitor office supplies and inventory.
  • Handle copying, printing, and scanning tasks.
  • Maintain filing systems and manage shredding processes.
  • Coordinate mailings and email communications.
  • Facilitate contract management processes.
  • Support the human rights committee initiatives.
  • Adhere to all agency policies and standards to positively represent Viability and its programs.
  • Foster positive working relationships with team members and maintain professional interactions.
  • Ensure timely and appropriate communication with team members.
Qualifications:
  • High School Diploma or GED with 3-4 years of relevant administrative experience.
  • Strong communication and problem-solving skills, with a sense of accountability for actions.
  • Ability to think critically about options and their implications.
  • Proven capability to work independently, demonstrating integrity and initiative.
  • Alignment with the organization's mission and values, with relevant lived experience.
  • Excellent organizational, analytical, and interpersonal skills.
  • A valid driver's license and reliable transportation are required.
