Overview

As a member of the growing Meetings & Events Team at our Corporate Headquarters, the Meeting and Events Specialist will assist with the coordination, planning, and execution of the company's meetings from conception to completion. The Event Specialist will be responsible for sourcing, coordinating, and managing events across the US. A successful candidate will demonstrate excellent professional and interpersonal communication skills, strategic planning skills, premier multitasking skills, and the ability to strategize and pivot when things don't go according to plan. Our Event Specialists "run the show," navigating each essential step in the event process. What You'll Do
  • Scope and plan multiple meetings/events simultaneously and independently.
  • Identify and understand all requirements, vision, and goals for each event.
  • Manage the operational delivery of assigned in-person, virtual, and hybrid meetings and events, including pre-event planning, day-of event coordination, and post-event communication.
  • Oversee the entire event lifecycle including research, sourcing and site selection, contract negotiation, agenda development, event website management and communication, F&B planning, A/V coordination, onsite event execution, vendor management, event logistic document creation, budget and post event cost reconciliation, and more.
  • Plan meetings, events, and other functions with extreme attention to detail while also focusing on the financial and time constraints.
  • Research, source, and contract venues, vendors, sponsors, and speakers.
  • Collaborate with departmental or Regional assistants as needed.
  • Establish and maintain relationships with venues, vendors, etc.
  • Proactively oversee events onsite and act quickly to pivot and resolve any problems that may arise.
  • Serve as primary onsite contact and coordinate setup and teardown of events.
  • Seek pre/post event feedback from meeting leaders, attendees, clients, vendors, and speakers to ensure a quality and beneficial event.
  • Ensure all events abide by our company brand and reflect our company appropriately.
  • Evaluate, record, and complete post-event analyses to report the event ROI and KPI's.
  • Travel is expected to be up to 50% in this role and may vary with seasons.
  • Other duties as assigned.

What You'll Need
  • Bachelor's degree in Event/Hospitality Management, Marketing, or relevant field is preferred; or 2+ years professional meeting experience; or equivalent combination of education and experience.
  • Knowledge and proficiency in job related computer software and applications including the entire MS Office Suite, Cvent Event Management, Adobe Acrobat, Social Tables, Zoom, and web conferencing software.
  • Excellent written and verbal communication skills, including the ability to communicate to Senior Level Leaders within our organization as well as third party vendors and speakers.
  • Demonstrates a sound working knowledge of current role and the technical systems, applications and equipment used in performing this role, and understands the impact this role has on other business functions within the organization.
  • Excellent organizational, negotiation, problem solving, forward thinking, and multitasking skills.
  • Sets high standards and measures of excellence to ensure quality assurance in every aspect of work performed.
  • Located in Central Florida to work out of our Corporate Headquarters in Orlando, FL with a flexible hybrid schedule.
  • First 90 days will be in office 4 days per week, 1 day remote while not traveling for events.

Physical Demands & Work Environment

  • Exerting up to 20 pounds of force occasionally to lift, carry, pull, or otherwise move objects.
  • Walk and stand for extended periods of time, especially during events.
  • Able to bend, twist, and reach, especially during events.
  • Able to travel through public transportation including air travel, rental vehicles, or use of personal vehicles for local events.
  • Work hours may be shifted or extended due to events with the ability to work events and weekends as needed for working onsite events.
