Position Overview:

The Event Manager I role is pivotal in steering the planning and execution of exceptional events and functions organized by the Division of Digital Learning/Center for Distributed Learning (DDL/CDL). This position requires a blend of creativity, strategic foresight, and decisive leadership that significantly influences the operational success of the university's events.

This is a visiting and renewable role, contingent upon funding sources that dictate the duration of employment. The position may be renewed for a maximum of four years.

Key Responsibilities:

  • Collaborates with various departments within DDL/CDL to orchestrate meetings and special events, including participating in planning discussions, anticipating technical challenges, and designing multimedia setups for events.
  • Reviews and approves promotional materials related to events in partnership with the Communication Specialist or Communication Director.
  • Takes charge of both virtual and in-person events, overseeing all aspects and serving as the primary liaison between clients and venues.
  • Chairs or co-chairs event planning committees, managing logistics, financial estimates, facility contracts, site selection, and other related tasks.
  • Recruits and organizes planning committee members, delegating responsibilities to ensure successful event execution.
  • Ensures adherence to all university and external policies and procedures related to event management.
  • Responsible for maintaining and updating event management software for registration, ticketing, and revenue tracking.
  • Develops and manages operational budgets for events in collaboration with the Program Director and the AABC, producing analytical reports for budget evaluation.
  • Conducts venue walkthroughs to assist in selection and assess audiovisual requirements.
  • Works closely with caterers and other vendors as necessary, coordinating with the DDL Reservationist for significant events or visitors.
  • Collaborates with CDL Graphics and iDev on graphic design and website development for events.
  • Arranges for keynote speakers as needed, ensuring timely payments and adherence to budget constraints.

Minimum Qualifications:

A Bachelor's or Master's degree coupled with 4+ years of relevant experience, or an equivalent combination of education and experience.

Preferred Qualifications:

  • Experience in event planning within higher education (3+ years).
  • Strong communication skills.
  • Ability to lead cross-functional teams effectively.
  • Exceptional organizational and time management abilities.
  • Proficiency in Microsoft Office Suite.
  • Experience managing budgets.
  • Background in hospitality or customer service roles.
  • Capacity to work independently while knowing when to seek assistance.
