Administrative Assistant II - Department of World Languages
Job Description

Under direct supervision, responsibilities include, but are not limited to:
- Provide administrative support to the Department Chair, Faculty and Staff of the Department of World Languages.
- Take meeting minutes, submit textbook orders, input semester schedule into MyCSN.
- Work with other program Administrative Assistants to coordinate rooms.
- Place orders, maintain the program budget, and coordinate delivery of items.
- Process New Hire documents as needed, generate period-activity-pay contracts for part-time faculty as well as overload contracts for full-time faculty each semester.
- Work to ensure all period activity pays are done in a timely manner according to payment schedules.
- Establish and maintain working relationships with personnel within this and other departments to facilitate processing of departmental business.
- Answer phones, take and deliver messages, greet students and visitors, and provide guidance and information regarding department courses and programs, CSN policies and procedures.
- Create and maintain department files, whether electronic or hard copy per the Department Chair.
- Engage and participate in campus activities such as school events.
- Demonstrate a willingness to assist other staff as necessary.
- Assist in the training of instructors, staff, and students in the use of equipment, software applications, and language programs used in the language labs across campuses.
- Work with Department and Lab Personnel to address hardware and software needs, including troubleshooting if needed.
- Demonstrate ability to adapt to work assigned, ability to work as team member and display good judgment.
- Other duties as assigned-other responsibilities may be assigned by the supervisor as warranted by business needs-thus incumbent is expected to do all assigned responsibilities.
- Graduation from high school or equivalent education and two years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR one year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience as described above.
- Experience with Workday, Peoplesoft/MyCSN.
- Proficiency in Microsoft Office, Specifically Word, Excel, and Outlook.
- Experience working in post-secondary setting.
- Experience working with diverse population.
- Experience using educational technology.
- Organizational and time management skills.
- Must possess superior written, oral, and interpersonal communication skills with a demonstrated dedication to customer service.
- Demonstrated problem solving skills.
- Experience working with a diverse/multicultural student body and/or workforce.
- Bilingual.
Monday - Friday 8:00 am - 5:00 pm
Starting Salary
Grade 25, Step 1 - $42,636.96.
Per Nevada Administrative Code (NAC , salaries for initial appointments for classified positions typically begin at Step 1.
