The Dodge Family College of Arts and Sciences is seeking a Lead Research Coordinator to join the Dean's Office Research Finance Administration Team. This position provides administrative and financial support for grants and contracts college-wide which will consist of monitoring progress and activity to assisting with the understanding and analysis of financial reports. This person will collaborate closely with Principal Investigators (PI), Departmental Staff, Central Offices, and other personnel to address questions, resolve issues, and provide consultation and training in the area of research administration and finance.

The job functions include:

  • Preparing and sending monthly reports to PIs and departmental staff to include financial commitments and projections for grant and contract projects college-wide
  • Maintains budget and grant administration in coordination with PI's and departmental staff
  • Monitoring and assisting PIs and department staff with grant and contract questions, concerns, and issues
  • Ensuring units are following the policy and procedures of the university as well as the grant and contract terms and conditions
  • Identifying, researching, and resolving grant activity that might be viewed as a compliance issue, a procedural error, etc.
  • Offering research guidance and direction as needed - may require consulting with central offices for guidance and relaying information back to the PI and/or department staff
  • Assisting and covering for departmental staff during vacancies and/or during a long-term leave of absence
  • Maintaining discretion for confidential information and appropriately handling critical information and sensitive situations
  • Assists with developing, implementing, and interpreting policies and procedures, ensuring compliance with federal, state and university policies and regulations
  • Interacting with all levels of faculty and staff
  • Provides Faculty support with purchases, travel and faculty liaison, policies and procedures, funding and reimbursement requests pertaining to grant and contracts.
  • Working under pressure while maintaining a professional demeanor and high volume
  • Performing various duties as needed to successfully fulfill the function of the position

NOTE: Selected applicants may be eligible for hybrid remote work after completion of sufficient training and demonstration of ability to handle the workload.

Required Education: Bachelor Degree in Accounting, Finance, Business, Management, or related field.

  • 24 months of office management, financial management, or related experience.

Equivalent/Substitution: Will accept 48 months experience in lieu of degree for a total of 72 months experience.

Skills:

  • Excel skills with ability to build and manipulate spreadsheets.
  • Maintain and navigate databases.
  • Basic math skills
  • Computer aptitude, including word processing and spreadsheet development.

Advertised Physical Requirements:

  • Standard office environment with extensive computer use.
  • Must be able to engage in repetitive motion including movements of the hands, wrists and fingers and communicate effectively.
  • Must be able to travel to offices across campus.

Department Preferences:

  • Certified Research Administrator (CRA) credentials
  • University or Higher Education financial experience
  • An effective communicator; with strong interpersonal and oral and written communication skills and the ability to effectively interact with designated faculty and administrations, as well as with Dean's Administration.
  • Self-motivated; with a high level of ability to work with minimum supervision.
  • Collaborative and comfortable working as part of a team to interpret policies and procedures. - Solution oriented and able to exercise sound judgment to solve problems within the scope of the position.
  • Highly organized and capable of managing designated workload while providing quality service and meeting deadlines through organization, interpersonal skills and prioritization of activities.
  • Confident in developing and managing budgets, projecting expenditures and managing recommended solutions.
  • Flexible to shifting priorities.
  • Able to work well with interdepartmental teams
  • Ability to interpret and apply federal, state, University regulations and negotiated contract requirements to ensure compliance
  • Knowledge of standard administrative procedures and office equipment
