POSITION OVERVIEW:

The Junior Proxy Voting Analyst is responsible for overseeing the proxy voting processes of our clients, ensuring that their votes are accurately and efficiently submitted. This role involves collaboration with clients, internal operational teams, and external proxy distributors to fulfill this objective. The analyst acts as a key point of contact for clients regarding any proxy-related inquiries and monitors internal voting systems to guarantee optimal functionality. Regular analysis of daily and monthly reports is conducted to identify and address potential issues, while continuously striving to enhance existing processes. The analyst also collaborates with various stakeholders to improve application performance, operational efficiency, and communication throughout the proxy voting procedure.

RESPONSIBILITIES:

  • Enhance and manage processes that safeguard critical data related to proxy voting, distribution, or security class action claims.
  • Serve as a knowledgeable resource regarding proxy flow and custodian-specific matters.
  • Represent the organization to clients during due diligence visits and issue resolution discussions.
  • Collaborate with clients and custodians to address inquiries and ensure effective resolution of issues related to reconciling proxy flow and custodian account setups.
  • Build and maintain strong relationships with both internal teams and external partners.
  • Analyze production and timeliness reports to implement ongoing process improvements and internal controls on essential data.
  • Establish and track key performance indicators crucial for achieving team objectives.
  • Encourage teamwork and professional development by initiating and supporting cross-functional projects.
  • Engage in the annual client renewal process through comprehensive account and process evaluations.
  • Maintain data integrity to ensure the quality of critical information using proprietary and standard business software applications.
  • Coordinate with account managers and client implementation teams to ensure timely and high-quality data submission from clients.
  • Ensure comprehensive audit trails are maintained for data exchanged with production systems.
  • Develop and monitor quality control metrics to identify potential data discrepancies and take ownership of resolving any identified issues.
  • Assist in creating training materials, standard operating procedures, and systems to support the expanding team.
