Job Summary:

The Administrative Legal Coordinator will provide critical support to the Corporate and Commercial Real Estate Transaction departments, as well as offering executive assistance to department leadership. This role is essential for ensuring smooth departmental operations, focusing on administrative support, office coordination, billing and collections, and executive assistance.


Key Responsibilities:

  • Executive Assistance: Provide executive support to department leadership, including managing calendars, scheduling meetings, preparing correspondence, and handling travel arrangements.
  • Project Coordination: Assist in coordinating various projects within the Corporate and Commercial Real Estate departments, including tracking progress, managing deadlines, and liaising with internal and external stakeholders.
  • Billing and Collections: Manage billing processes for the Corporate and Commercial Real Estate departments, including preparing and sending invoices, tracking payments, following up on outstanding invoices, and handling collections.
  • Administrative Support: Handle routine administrative tasks such as calendaring, filing, scanning, and printing, ensuring that the office runs efficiently.
  • Communication Management: Coordinate with various stakeholders, including clients, vendors, and internal teams, to ensure timely and accurate communication and documentation.
  • Office Management: Oversee office tasks related to the Corporate and Commercial Real Estate departments, including event planning, technology assistance, and procurement.
  • Onboarding/Offboarding: Assist in the onboarding and offboarding processes for department personnel.
  • Mail and Inventory Management: Handle incoming and outgoing mail specific to the Corporate and Commercial Real Estate departments and manage computer inventory and technology resources within the departments.
  • Special Projects: Support special projects as assigned by department leadership, contributing to the success of ongoing initiatives.


Qualifications:

  • Bachelor's degree in a related field (preferred).
  • Legal Assistant/Paralegal training (preferred).
  • Experience in providing executive-level support.
  • Strong organizational skills.
  • Project management experience or certification is highly preferred.
  • Experience with billing and collections processes.
  • Ability to work independently and manage multiple priorities in a fast-paced environment.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office and relevant software.
