Position Overview:
The selected candidate will enhance office functionality by executing administrative frameworks, processes, and guidelines while overseeing various administrative initiatives.

Key Responsibilities:
The individual will act as the primary advisor and consultant to the management team on administrative and operational directives.

The role requires effective communication with personnel at all levels, including operational officials and support teams, while providing services such as document preparation, review, staffing, and archival management.

Operational Analysis:
The candidate will assess operational methodologies, recordkeeping practices, form management, office organization, and budgetary and staffing needs; suggest enhancements and implement approved modifications.

The individual will troubleshoot administrative challenges by evaluating data, identifying options, proposing solutions, and conveying approved recommendations.

Requirements Identification:
The candidate will pinpoint functional and cross-functional needs to ensure seamless work operations, documenting and relaying suggested actions to management.

The role includes recognizing discrepancies and determining ongoing requirements for task allocation and interdependencies.

Regulatory Guidance:
The applicant will research, coordinate, and advise on regulations, policies, directives, and procedures, ensuring adherence to higher headquarters administrative and management guidelines.

The individual will conduct studies and special projects across various management and program sectors, applying relevant policies and reporting standards.

Documentation Management:
The candidate will develop, execute, and monitor documents and intergovernmental agreements, including Memorandums of Understanding and Memorandums of Agreement.

Event Coordination:
The applicant will organize, schedule, and adjust meetings, events, and travel for organizational leaders, ensuring synchronization with key stakeholders.

Technical Support:
The individual will facilitate meetings for senior leaders and provide technical assistance, including the preparation of documents, reports, and presentations.

The candidate will prepare, review, and distribute agendas, briefings, minutes, and calendars.

Programmatic Reviews:
The applicant will plan, coordinate, and engage in systems readiness assessments, touchpoint reviews, and other programmatic evaluations, ensuring that minutes and actions are documented and addressed.

Task Management:
The candidate will respond to assignments, collaborating with functional experts to gather, compile, and analyze pertinent information, developing strategies and language, coordinating approvals, and submitting responses promptly.

Quality Assurance:
The individual will conduct quality checks on organizational documentation and briefings, ensuring accuracy in format, grammar, spelling, and content prior to submission to leadership.

The candidate will provide subject matter expertise during organizational meetings and oversee Integrated Product Teams, packaging and presenting briefings, recording actions, and generating reports of activities.

Qualifications:
Due to the sensitive nature of customer-related requirements, U.S. Citizenship is mandatory.

Ability to obtain security clearance is essential.

Minimum qualifications include a High School diploma/GED with 7 years of experience, an Associate's degree with 2 years of experience, or a Bachelor's degree in a relevant field with one full academic year of graduate education in a specialized area.

Alternatively, a Bachelor's degree in any field with a minimum of 5 years of specialized experience is acceptable.

Specialized Degree Fields:
Project Management, Business Management/Administration, or related disciplines.

Specialized experience must encompass Project Management, Business Management/Administration, or related fields.


A minimum of 5 cumulative years of experience (within the last 8-year period) in planning, organizing, tracking, and reporting on projects supporting program life-cycle management processes.


Experience supporting a Major Defense Acquisition Program (MDAP) valued over $185 million (ACAT I or II) using DoD 5000 weapon systems acquisition processes is required.

Proficiency in Microsoft Office Suite (Outlook, Word, Excel, and PowerPoint) and Adobe Acrobat is necessary.
