Position Overview

The Project File Administrator serves as a key point of contact for clients, helping to define project needs and specifications while overseeing and organizing project workflows. Ideal candidates will be proactive, detail-oriented, and possess exceptional customer service abilities.

Key Responsibilities

  • Ensure daily accuracy of all job file documentation.
  • Engage with Production teams daily to verify that all necessary documentation is collected on-site.
  • Prepare and assess estimates based on project scope and images provided by Production teams.
  • Maintain an up-to-date Work in Progress board for all ongoing projects.
  • Monitor compliance with all client specifications.
  • Facilitate effective communication with all stakeholders, both internal and external.
  • Analyze timestamps and other relevant data for precise reporting and key performance metrics.
  • Finalize job file documentation for upload and auditing purposes.
  • Conduct internal audits to ensure estimates accurately reflect completed work.
  • Oversee all job close-out processes, coordinating with the accounting team for accurate invoicing.
  • Provide support to other departments as required.

Qualifications

  • Minimum of 2 years of experience in administrative or office roles.
  • Familiarity with estimate writing, job file management, and quality assurance is advantageous.
  • Experience in a service-oriented environment is beneficial.
  • Exceptional written and verbal communication skills.
  • Strong organizational skills and meticulous attention to detail.
  • Self-motivated and results-driven.
  • Able to manage multiple tasks effectively.
  • Comfortable working in a dynamic, team-focused office setting.
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel).
  • Willingness to learn new software, including Xactimate and proprietary tools.
  • High School Diploma or GED preferred.

Work Schedule and Benefits

This is a full-time role with working hours typically ranging from 8:00 a.m. to 5:00 p.m., Monday through Friday. Additional hours and travel may be required based on business needs.
