The Lead Administrative Support Specialist acts as the primary liaison for students, faculty, staff, and visitors to the Honors College.

This role is crucial in ensuring the smooth daily operations of the Deans' office, providing essential support for various college initiatives while facilitating communication among faculty, staff, and students throughout the university.

The ideal candidate will uphold best practices in data management, effective communication, and organizational well-being. They will show respect to all members of the Honors College community and those who engage with it.

Furthermore, the candidate must exhibit a strong work ethic and accountability, maintaining a welcoming demeanor towards a diverse audience.


Key Responsibilities:
  • Provide administrative assistance to the Honors College main office, including managing multi-line phone systems, receiving deliveries, monitoring and ordering supplies, and greeting guests.
  • Maintain confidential office files and assess procedures to recommend improvements for enhanced efficiency.
  • Handle email correspondence for the Honors College, including drafting letters and creating content for newsletters and websites.
  • Address student inquiries regarding Honors College requirements and provide support for college programs, including data preparation, scheduling, and overseeing funding processes.
  • Assist in preparing annual budgets for programming and office needs, and support college events and special projects as required.
  • Manage updates to the Honors College website and compile reports based on data and statistics.
  • Process application acceptance and deferral letters and perform related duties as assigned.

Qualifications:

Required Education: High School Diploma or GED, with a minimum of 12 months of office, clerical, or administrative experience.

Skills: Exceptional oral and written communication skills, proficiency in Microsoft Office Suite, and strong customer service abilities. Detail-oriented with the capacity to manage multiple projects efficiently.

Ability to maintain confidentiality and secure sensitive information while working independently and collaboratively.


Department Preferences:
  • Experience engaging with students and faculty.
  • Strong office management skills and a welcoming demeanor.
  • Aptitude for learning new systems and processes.
  • Critical thinking skills for data analysis and report preparation.

Supervision: May oversee student program assistants.
