Position Summary:

The Office Coordinator is responsible for establishing and executing administrative frameworks and processes. Acts as the primary resource for information regarding the unit, project, or program. Collects and maintains data to assist in the preparation of reports, utilizing various software applications. Manages and updates financial, personnel, administrative, and student records. Ensures effective communication flows within the department. May draft, review, edit, and finalize correspondence, reports, and other documents using word processing, spreadsheet, and database tools. Coordinates the use of facilities and organizes meetings, conferences, and seminars. Contributes to departmental objectives by performing clerical or administrative tasks as necessary. Must possess the ability to work autonomously with minimal oversight and handle sensitive and confidential information. Proficiency in a range of office software is essential. Requires intermediate to advanced skills in email management, word processing, and spreadsheets. Previous office experience is mandatory.

Key Responsibilities:

· Oversees the activities of proctors during examination periods and prepares necessary reports.

· Assesses weekly examination schedules to determine staffing requirements.

· Develops and disseminates weekly proctor schedules.

· Assists students with examination inquiries and facilitates communication with faculty via phone or email.

· Monitors examination rooms during test administration.

· Serves as a liaison for proctors and students requiring clarification.

· Enforces time constraints and compliance regulations.

· Clarifies and addresses questions regarding examination procedures, accommodations, and related issues, reporting any incidents or unusual occurrences to Test Center Leads.

· Prepares and distributes examination materials to students.

· Collects, verifies, and counts completed examinations.

· Ensures examination rooms are equipped to meet student accommodations.

· Alerts appropriate personnel to any test equipment issues and works towards prompt resolutions.

· Requests specialized technology from the Assistive Technology Center and coordinates its delivery and return.

· Performs general clerical duties such as answering phones, processing correspondence, and maintaining files as required.

· Supports check-in desk operations as necessary.

· Undertakes additional responsibilities as needed.

Qualifications:

· High school diploma or equivalent.

· One year of academic experience.

· One year of administrative experience.

· One year of customer service experience.
