About This Role:

The Office Services Coordinator plays a vital role in ensuring a well-organized, contemporary, and inviting office atmosphere for both clients and employees, thereby supporting business objectives. The Office Services team operates as a service-oriented organization, viewing our employees as customers, and is responsible for all facets of office, facilities, and real estate management. Candidates should possess excellent organizational, collaborative, and customer service abilities.

Key Responsibilities:

  • Manage and direct incoming calls to Forrester's main switchboard effectively.
  • Welcome employees, visitors, clients, and vendors to the office.
  • Oversee and regulate access points in the lobby, confirming employment before granting entry.
  • Maintain security logs documenting all visitors and incoming employee details.
  • Validate parking tickets and keep accurate records.
  • Ensure the lobby area is tidy and presentable, including the coffee/tea/water station for clients, accessible meeting rooms, and lobby greenery.
  • Employee services: Monitor and assist with Corporate Services requests from initiation to completion, ensuring prompt and clear communication.
  • Participate in the responsibilities of the shipping and mail services team for both incoming and outgoing items.
  • Vendor liaison: Manage vendor maintenance, upgrades, inventory, and procurement as necessary.
  • Office environment: Ensure a functional office setting, including readiness of conference rooms, stock of office supplies, printer supplies, and maintenance of coffee equipment.
  • Team support: Provide backup and/or assistance to Corporate Services team initiatives.
Qualifications:
  • Experience in front desk operations and/or customer service is advantageous.
  • Self-driven and capable of working independently.
  • Ability to lift up to 50 lbs, as the role involves moving packages and arranging furniture.
  • Exceptional professional customer service skills, encompassing both written and verbal communication.
