The Operations Service Supervisor plays a vital role in ensuring the smooth functioning of service operations by leveraging strong administrative, customer relations, and internal coaching skills. This position requires adaptability to frequent interruptions, effective decision-making, and sound judgment.

Key Responsibilities
  1. Oversee the monthly budget for parts and shop supplies, ensuring maintenance costs remain below 10% of rental revenue.
  2. Maintain equipment deadlines, ensuring they do not exceed 1% of total investment. Implement a preventative maintenance program for the fleet, reviewed monthly with management.
  3. Analyze maintenance records to schedule service intervals and ensure that equipment overdue for maintenance does not exceed set inventory limits.
  4. Establish and maintain comprehensive service records for all rental fleet equipment, ensuring all assets over a specified acquisition cost have documented maintenance histories.
  5. Process and recover all warranty claims promptly.
  6. Ensure all work orders are completed and logged daily.
  7. Complete estimates for suspected customer damage within 48 hours of identification, with immediate invoicing upon approval.
  8. Log and track all field service calls, ensuring timely responses to customer requests.
  9. Ensure all rental-ready machines meet current inspection and certification requirements.
  10. Maintain a clean and safe shop environment in compliance with OSHA standards.
  11. Manage mechanic overtime to remain within budgetary constraints.
  12. Ensure that a minimum of 80% of units in the yard are operational and ready for rental.
  13. Complete all management requests and special projects within designated timelines.
Administrative Duties
  • Prioritize tasks within the shop to maximize productivity and fleet utilization.
  • Manage inventory levels for spare parts and oversee ordering and receiving processes.
  • Allocate costs for parts and labor through an effective work order system.
  • Provide direct training to mechanics and coordinate manufacturer training for skill enhancement.
  • Maintain a supply of necessary tools for service personnel.
  • Utilize strong administrative skills to document parts and labor costs efficiently.
  • Identify opportunities for outsourcing repair services when necessary.
Customer Relations
  • Respond to customer service inquiries regarding equipment failures and take appropriate action.
  • Collaborate with management to determine whether to repair or replace rental equipment on-site.
  • Provide customer training on daily maintenance and safe equipment operation.
  • Communicate with sales representatives regarding billing for damages.
Technical Expertise
  • Establish maintenance and repair standards for rental equipment.
  • Possess specific brand training relevant to the fleet.
  • Train other mechanics on maintenance and repair procedures.
Candidate Profile
  • Essential Skills: Strong interpersonal skills, effective communication, and the ability to teach mechanical techniques.
  • Organizational Skills: Proven ability to coordinate logistics and programs efficiently.
  • Mechanical Aptitude: Required for success in this role.
