Job Summary

We are seeking a highly skilled and experienced Executive Assistant to provide administrative support to our CEO. The successful candidate will be responsible for managing the CEO's schedule, coordinating meetings and events, and providing exceptional administrative support to ensure the smooth operation of the CEO's office.

Key Responsibilities
  • Administrative Support
    • Manage the CEO's calendar, schedule appointments, and coordinate meetings and events
    • Prepare and edit correspondence, reports, and other documents on behalf of the CEO
    • Provide administrative support to the CEO, including data entry, filing, and other tasks as needed
  • Communication and Representation
    • Represent the CEO at internal and external meetings, events, and conferences
    • Communicate with stakeholders, including board members, donors, and partners
    • Prepare and distribute meeting materials, including agendas, minutes, and follow-up actions
  • Project Management
    • Assist the CEO in planning and executing projects, including research, data analysis, and report writing
    • Coordinate logistics for events, meetings, and conferences
    • Develop and maintain systems and processes to ensure efficient and effective project management
  • System Development and Implementation
    • Develop and maintain electronic filing and tracking systems for the CEO's office
    • Recommend and implement workflow efficiencies to improve productivity and efficiency
  • General Administration
    • Manage travel arrangements, including booking flights, hotels, and rental cars
    • Coordinate logistics for meetings and events, including room reservations, catering, and audio-visual equipment
    • Assist with special projects, including research, data analysis, and report writing
Requirements
  • Education and Experience
    • Three or more years of experience in an administrative role, preferably in a similar industry or organization
    • Bachelor's degree from a four-year college or university, preferred
  • Skills and Knowledge
    • Excellent verbal and written communication skills
    • Strong organizational and time management skills
    • Ability to work independently and as part of a team
    • Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and PowerPoint
    • Ability to maintain confidentiality and handle sensitive information
    • Valid driver's license and reliable vehicle for travel
