Hilton Santa Clara is on the lookout for a dedicated HR Administrative Specialist to become part of our vibrant team, enjoying the perks of a dynamic hotel atmosphere. The HR Administrative Specialist will play a crucial role in supporting the HR Director with various administrative responsibilities related to recruitment, onboarding, terminations, benefits management, data entry, payroll preparation, workplace safety, and recordkeeping. A minimum of 1-2 years of clerical experience in HR is required, along with proficiency in word processing and spreadsheet applications in a Windows environment. Flexibility to work occasional weekends is necessary.

KEY RESPONSIBILITIES:
  • Assist in the recruitment process, including scheduling interviews, conducting background checks, verifying employment references, and creating new hire files. Participation in job fairs may also be required.
  • Ensure accurate data entry into HR software for new hires, terminations, training records, benefits, etc.
  • Support recordkeeping and reporting for new hires, terminations, benefits administration, worker's compensation, safety, payroll, and lockers.
  • Assist with benefits administration, enrollment, and health and wellness initiatives.
  • Contribute to safety program efforts.
  • Help plan and execute employee engagement events.
  • Support employee training initiatives.
  • Assist in the creation of newsletters and facilitate interdepartmental communication.
  • Perform clerical tasks such as copying, filing, and faxing.
  • Foster a collaborative environment by understanding the operational procedures of other hotel departments.
  • Promote teamwork and a positive attitude among staff.
  • Attend departmental and inter-departmental meetings in the absence of the HR Director.
  • Communicate any relevant information regarding hotel operations, guests, or employee activities to management.
  • Maintain knowledge of hotel emergency procedures.
  • Ensure guest satisfaction is prioritized.
  • Conduct safety inspections of the hotel.
  • Update bulletin boards and guest comment boards.
  • Assist with locker checks.
  • Follow supervisor's instructions and perform other assigned duties.
  • Assist with payroll documentation, including reviewing daily payroll edits, ensuring accuracy and timeliness of payroll processing, and managing payroll-related benefits.
  • Facilitate team member benefit enrollment and coordinate the annual enrollment process.
  • Oversee team member benefit eligibility reviews.
  • Reconcile medical invoices and ensure timely payments.
  • Initiate the off-boarding process, including benefit terminations.
  • Ensure team member and medical files are complete and securely maintained.
  • Assist in organizing team member activities (e.g., team member of the month, picnics, etc.).
QUALIFICATIONS:
  • Proficient in speaking, reading, and writing in English; bilingual in Spanish is a plus.
  • Experience with UKG is preferred.
  • Prior payroll experience is required.
  • Ability to read, comprehend, and write instructions, correspondence, and memos.
  • Preferred experience in Human Resources and/or administrative roles.
  • Previous experience in the hotel industry is advantageous.
  • Strong organizational skills, time management, and the ability to maintain focus.
