Job Overview

Position: Community Association Manager

Department: Community Management Division

Educational Qualifications: An Associate's degree is preferred along with 1-3 years of experience in property or community management. M100 certification through CAI is highly desirable. New hires will receive online training through CAI and hands-on sessions with team leaders and experienced managers. Each new employee will be paired with a team captain to guide their development during the initial months. We seek proactive individuals who are eager to learn and apply critical thinking in diverse situations.

Company Overview: MacPherson's Real Estate Services is a family-owned enterprise with a legacy spanning four generations. We prioritize transparency, integrity, and continuity in our operations. Our vision is to maintain a family business that can be inherited by future generations. Our mission is to simplify real estate ownership while safeguarding our legacy by protecting the investments of property owners. We operate on four core principles: FAMILY, PARTNERSHIP, SERVICE, and ACCOUNTABILITY. As our business expands, we consistently recruit new managers to meet the growing demand from associations.

Role Description: The Community Manager is responsible for nurturing the relationship with the association's board of directors, overseeing the operational and administrative functions of the Association in alignment with the management agreement and the governing documents. This role is akin to a consultant and advisor to the board, providing valuable insights while being a trusted resource for homeowners. Experience with multiple properties or involvement in an HOA board is advantageous. A deep understanding of home ownership nuances and the application of community rules is essential. Each manager is equipped with a laptop and access to various tools and resources to perform their duties remotely, including Adobe Suite, Office 365, Teams, SharePoint, and AppFolio.

Additional Requirements: Candidates must reside in the Puget Sound Area of Western Washington. Ideal applicants possess excellent interpersonal skills, are highly organized, and can communicate professionally in both written and verbal forms. A reliable vehicle and cell phone are necessary, along with the ability to work effectively from home, manage schedules, and conduct monthly on-site meetings. Board meetings typically occur in the evenings, and managers share on-call responsibilities for emergency situations.

Key Responsibilities:

  • Utilize community management tools and methodologies, including annual calendars, action item lists, resolution worksheets, and operating budgets.
  • Track and manage service requests and work orders accurately.
  • Review financial reports monthly and communicate variances to the Board.
  • Prepare management reports and board packets in accordance with established standards.
  • Provide recommendations to the Board regarding significant capital expenditures to maintain community standards.
  • Monitor delinquency rates and manage the collections process for assigned accounts.
  • Assist the Board in enforcing governing documents and regulations.
  • Attend Board meetings and community events as required.
  • Prepare community notices and correspondence in line with governing documents.
  • Keep the Board informed of any legal matters affecting the Association.
  • Support the Board with architectural review processes and routine inspections.
  • Manage vendor relationships for routine and special projects, including procurement and performance evaluations.
  • Coordinate inspections of building facilities and common areas, ensuring appropriate follow-up actions are taken.

Compensation: The position offers a starting salary of $68,000 per year, with potential for salary growth as the portfolio expands. Benefits include company-paid medical, dental, and vision coverage, paid vacation, and a 401K match.

Work Environment: The primary office is located in Lynnwood, WA, but the role allows for remote work, with occasional onsite visits for meetings and vendor interactions. The majority of work is conducted from home, providing flexibility in scheduling.
