New hires will receive online training through CAI and hands-on mentorship from experienced team leaders and managers. Each newcomer will be paired with a team captain to guide their development during the initial months. To meet the growing demand from associations, we recruit at least two new managers annually, ensuring they receive adequate training and support. The new manager will be expected to be fully operational by the upcoming summer.

Role Description: The Community Manager is responsible for managing the relationship with the association's board of directors, overseeing the operational and administrative aspects of the Association in line with the management agreement and the governing documents. This role is more akin to a consultant and advisor rather than a traditional onsite manager, providing valuable insights to the board while being a resource for homeowners. Experience with multiple properties or involvement in an HOA board is advantageous. A deep understanding of home ownership nuances and community rule enforcement is essential. Each manager is equipped with a laptop and has access to necessary tools and resources to perform their duties remotely, including Adobe Suite, Office 365, Teams, SharePoint, and AppFolio.

Additional Requirements: Candidates must reside in the Puget Sound Area of Western Washington. Ideal applicants possess excellent interpersonal skills, are highly organized, and can communicate professionally in both written and verbal forms. A reliable vehicle and cell phone are necessary, along with the ability to manage a home office effectively. Candidates should be adept at scheduling, time management, and conducting monthly onsite meetings. Board meetings typically occur in the evenings during weekdays, and all managers share on-call responsibilities for emergency phone support a few times each year.

Key Responsibilities:
  • Utilize community management tools and methodologies, including annual calendars, action item lists, resolution worksheets, and operating budgets.
  • Track and manage service requests and work orders accurately.
  • Review monthly financial statements and communicate variances to the Board.
  • Prepare and deliver monthly management reports and board packets in accordance with established standards.
  • Provide recommendations to the Association Board and committees regarding significant capital expenditures to maintain community standards.
  • Monitor delinquency rates and manage the collections process for assigned accounts.
  • Assist the Board in enforcing governing documents and regulations.
  • Attend Board meetings and community events as required.
  • Prepare community notices and correspondence in line with governing documents.
  • Keep the Board informed of any legal matters affecting the Association.
  • Support the Board/ARC with architectural review processes and routine inspections as needed.
  • Manage vendor relationships for routine and special projects, including procurement and performance evaluation.
  • Coordinate inspections of building facilities and common areas, ensuring appropriate follow-up actions are taken.

Compensation Package: The position offers a W-2 starting salary of $68,000 annually, with potential salary growth as the portfolio expands. Benefits include company-sponsored medical, dental, and vision coverage, paid vacation, and a 401K matching program.

Work Environment: The main office is located in Lynnwood, WA, but the role allows for 100% remote work, with occasional onsite visits for meetings and vendor interactions. Properties are managed across a wide area, and employees have the flexibility to control their schedules.
