Role Summary:
This role serves as a pivotal administrative leader, executing complex clerical, secretarial, and organizational tasks while providing essential support to the Department Chair and Program Director. The position is integral to the functioning of a diverse and expansive department, facilitating communication and coordination among faculty, students, and external stakeholders.
Key Responsibilities:
- Deliver comprehensive administrative assistance to Department Chair(s) and Program Director, including schedule management, classroom assignment support, budget oversight, and procurement processes. Engage with students, faculty, and visitors to provide exemplary customer service, manage communications, and draft official departmental correspondence.
- Oversee the maintenance of accreditation documentation and reporting, ensuring compliance with standards and facilitating data collection for relevant accreditation bodies.
- Support the training and supervision of student employees, organize departmental events, and provide technical assistance and training as needed. Manage filing systems to ensure confidentiality and proper handling of sensitive information.
- Coordinate faculty support activities, including meeting organization and minute preparation, while managing departmental resources effectively.
- Execute additional tasks as required to address the evolving needs of the department and its programs.
Essential Skills:
- Strong organizational, communication, and interpersonal abilities.
- Proficient in Microsoft Office Suite and familiar with university systems and processes.
- Experience with institutional software applications relevant to administrative functions.
Physical Requirements:
- Ability to lift up to 25 lbs. and perform various physical tasks, including sitting, lifting, bending, and walking.
Work Environment:
- Position is primarily office-based with frequent interruptions, requiring adaptability to changing priorities.
