Administrative Assistant III

The Health and Human Services Commission (HHSC) is seeking a highly skilled Administrative Assistant III to join the Child Care Regulation program of the HHSC Regulatory Division. This role provides critical administrative support to Child Care Regulation inspectors and unit supervisors, handling sensitive and confidential information with discretion.
This position involves processing mail, maintaining a record management system, entering and compiling data, and facilitating communication with staff and the public through telephone calls, emails, and face-to-face interactions. Additionally, the successful candidate will coordinate the purchase, receipt, maintenance, and distribution of office equipment, furniture, and supplies.
The ideal candidate will possess excellent administrative skills, including data entry, record-keeping, and communication. They will also have the ability to maintain confidentiality, work independently in a fast-paced environment, and prioritize multiple assignments effectively.
Essential Job Functions:- Performs data entry into the Child Care Licensing automated system (CLASS) and other electronic systems, including entering applications for child care licenses.
- Processes applications for registered child care homes, reviewing for accuracy and completeness, and conducting searches of relevant databases before an application is accepted.
- Processes applications and performs case management tasks for listed family homes, including communication with providers, tracking fees and background checks, and completing letters for auto-suspensions and revocations.
- Maintains broad knowledge of program functions and requirements to provide program and agency information and/or make referrals to other community resources when triaging calls to agency offices.
- Professionally handles all incoming telephone calls and greets visitors, working cooperatively with other building employees to provide rotating, back-up support for switchboard coverage.
- Knowledge of office practices and administrative procedures.
- Skills in establishing and maintaining effective working relationships, both internally and externally, and effective verbal and written communication.
- Ability to understand written and verbal instructions, interact with all levels of staff, research and analyze data from different sources, and maintain confidential information.

Initial Selection Criteria:- Graduation from high school or equivalent.
- One (1) year full-time administrative support, general office, clerical, secretarial experience.
- Thirty semester hours from an accredited college or university may be substituted for the required experience.
