Position Overview

This role serves as a pivotal office management position, executing advanced administrative, secretarial, and clerical responsibilities while providing essential support to the Chair of the Department of Business and the Program Director of the Construction Management Program. The Department of Business encompasses a diverse range of disciplines, and as the structure evolves, the Administrative Coordinator will extend support to additional departmental leaders.

Key Responsibilities

  • Deliver comprehensive administrative assistance to Department Chair(s), Program Director, and faculty members; manage and develop schedules; facilitate classroom assignments; collaborate on advising and degree management; oversee budget monitoring; handle procurement, invoicing, and receipt management; maintain inventory of supplies and equipment; and communicate effectively with faculty and students as required.
  • Provide exceptional customer service by welcoming and assisting students, faculty, staff, and visitors; manage office communications, including incoming calls and inquiries; and draft official departmental correspondence while maintaining electronic records.
  • Ensure compliance with accreditation standards by maintaining necessary documentation and annual reports, particularly for the Construction Management Program, including data collection and reporting for relevant accreditation bodies.
  • Support student workers through training and supervision; coordinate luncheons, special events, and reimbursements; and offer technical and software training as needed. Organize and manage program-related events, fostering communication with industry organizations.
  • Facilitate administrative support for faculty, including meeting organization and minute preparation; manage departmental laboratories and resources.
  • Perform additional duties as assigned to meet the evolving needs of the departments and programs.

Essential Competencies

  • Strong organizational, communication, and interpersonal skills.
  • Proficient in all Microsoft Office applications.
  • Familiarity with university systems and processes.
  • Experience with specific software systems relevant to the role.

Physical Requirements

  • Ability to lift up to 25 lbs and perform various physical tasks, including sitting, lifting, bending, and walking between buildings.

Work Environment

  • This position is primarily office-based with frequent interruptions and may require flexibility to accommodate departmental needs.
