Role Summary:

The Human Resources Administrator (HRA) is integral to the effective functioning of the HR department, directly supporting the Associate Director of HR. The HRA is tasked with managing daily HR operations, including onboarding processes, employee record maintenance, payroll activities, and various administrative duties to enhance departmental efficiency.

Qualifications:

  • A minimum of three (3) years' experience in an administrative capacity is required.
  • An Associate's degree is preferred.
  • At least one year of experience with ADP systems is desirable.
  • Proficiency in database management is essential.
  • Experience in Human Resources is advantageous.
  • Basic computer skills are necessary for data management and HR functions.
  • Strong communication skills are a must.
  • A self-starter with a keen interest in problem-solving is preferred.

Core Responsibilities: The Human Resources Administrator will facilitate the daily operations of the HR department, which includes:

  • Providing administrative support to HR team members, including calendar management, meeting coordination, and data audits within the HRIS system.
  • Conducting data entry tasks as needed, such as processing new hire information, terminations, salary adjustments, and performance reviews.
  • Preparing payroll authorizations for staff changes, including new hires, separations, and promotions.
  • Assisting in the orientation process by preparing necessary materials and coordinating logistics.
  • Supporting compliance initiatives and HR audits.
  • Executing background checks for new hires and volunteers.
  • Maintaining accurate and current HR files and documentation.
  • Responding to common inquiries from applicants and employees regarding policies and benefits.
  • Ensuring confidentiality and integrity of HR records.
  • Updating and managing HR-related spreadsheets.
  • Conducting periodic audits of HR files to ensure compliance.
  • Facilitating effective communication with employees and addressing their concerns promptly.
  • Assisting with special projects as directed by the VP of HR or AD of HR.
  • Compiling documentation requests from other departments related to HR files.
  • Supporting employee timekeeping and payroll accuracy.
  • Collaborating with the HR team on various projects.
  • Taking minutes during HR meetings as required.
  • Participating in HR events and initiatives.
  • Managing departmental supplies and placing orders as necessary.
  • Performing additional duties as assigned.

Skills and Competencies:

  • Familiarity with ADP systems.
  • Understanding of confidentiality and discretion in handling sensitive information.
  • Exceptional customer service skills.
  • Ability to demonstrate patience and respect in all interactions.
  • Detail-oriented with a strong aptitude for numerical accuracy.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint).
  • Knowledge of HRIS systems is a plus.
  • Strong internet research capabilities.
  • Excellent written and verbal communication skills.
  • Flexibility to manage multiple projects effectively.
  • Dependable and punctual, contributing positively to the department and organization.
