Job Description

We are seeking a highly organized and proactive Executive Assistant to support Jake Garay and our rapidly growing real estate team at The Garay-Michaud Team. This role is essential for maintaining smooth operations and supporting our team's success.

Key Responsibilities:

  • Client Communication and Relationship Management: Manage all client communications, including correspondence, follow-ups, and client appreciation efforts, ensuring top-notch client relations and satisfaction.
  • Scheduling and Coordination: Handle scheduling for showings, meetings, marketing shoots, and events, keeping the team organized and on track to meet our business objectives.
  • Database and CRM Management: Oversee data entry, updates, and management of CRM and other platforms to ensure accuracy, efficiency, and compliance with industry standards.
  • Marketing and Listing Management: Input and update property listings, manage media and online profiles, and handle client reviews to maintain our marketing presence and reputation.
  • Digital and Physical Record Management: Organize and maintain digital and physical records, ensuring all client and transaction files are up-to-date and easily accessible to support business decisions.
  • Event Planning and Coordination: Collaborate with team members to plan, schedule, and manage events, both client-facing and internal, to promote team building and business growth.
  • New Agent Onboarding: Assist with the onboarding process for new agents, helping them integrate smoothly and efficiently into the team to ensure a seamless transition.
  • Standard Operating Procedures and Workflow Optimization: Document standard operating procedures and continuously seek ways to improve processes for increased efficiency, productivity, and business success.

Qualifications:

  • Strong interpersonal and time management skills.
  • Prior experience in real estate is a plus but not required.
  • Having a real estate license is a plus but not required.
  • 2-3 years of experience providing administrative support in a similar role.
  • Ability to handle confidential information with discretion and meet tight deadlines.
  • High School Diploma Required.
  • Strong familiarity with computer software such as CRM's, MLS, Google Drive, and others.
  • Prior experience in real estate is a bonus.
  • Excellent communication skills and organizational skills.
  • Used to handling private information and meeting hard deadlines.
  • 2-3 years experience as an executive assistant or administrative assistant.
  • High school diploma or G.E.D. required.
  • Accustomed to navigating computer software such as Microsoft Office and MLS.
