Position Overview:

The role of the Executive Assistant presents a distinctive opportunity to deliver high-level administrative support to the President & CEO, the Board of Trustees, and other executive personnel. The successful candidate will demonstrate exceptional skills in calendar management, travel coordination, and the preparation of correspondence and reports. This position is crucial for maintaining confidentiality and professionalism, ensuring the efficient functioning of the executive office and facilitating effective communication with various stakeholders.

Key Responsibilities:

  • Manage the calendar of the President/CEO, schedule meetings, and arrange travel logistics.
  • Prepare correspondence, reports, and presentations for executive review while safeguarding sensitive information.
  • Support the Board of Trustees by organizing monthly meetings, creating meeting agendas and minutes, and ensuring smooth communication between the President/CEO and Board members.
  • Assist in budget preparation, coordinate special events, and complete assigned projects and activities.

Qualifications:

The ideal candidate will possess a bachelor's degree in social services, business, or a related discipline, along with a minimum of three years of experience providing support to high-level executives or administrators, preferably within a nonprofit environment. Proficiency in standard business software and office procedures is essential, along with a commitment to integrity, discretion, and professionalism. Reliable transportation is necessary, as occasional statewide travel may be required.

Strong written and verbal communication skills are vital for effective interaction with both internal and external stakeholders. The ability to prioritize tasks, manage multiple projects concurrently, and work independently with minimal supervision is essential for success in this role. A proactive, detail-oriented approach, coupled with the flexibility to adapt to changing priorities and deadlines, will enable the Executive Assistant to thrive in supporting the President & CEO and Board of Trustees.
