Position Overview:
We are currently seeking a meticulous and organized Clinical Administrative Assistant to provide essential support to our nursing department. This role is crucial for maintaining efficient daily operations and delivering administrative assistance to our nursing personnel.
Key Responsibilities:
- Staff Scheduling: Develop and oversee the nursing staff schedule to ensure adequate shift coverage.
- Time Off Management: Process time off requests and manage call-outs to maintain consistent staffing levels.
- Agency Collaboration: Work with external agencies to fill staffing gaps and communicate any scheduling changes effectively.
- Administrative Duties: Provide support for nursing department projects, take minutes during meetings, and manage related administrative tasks.
- Documentation Oversight: Review and update nursing logs, lists, and forms, ensuring accuracy and compliance.
- Policy Review: Assist in the review and updating of nursing department policies and procedures as needed.
- Data Management: Accurately enter and maintain sensitive resident information within the computer system.
- Education Tracking: Monitor and record mandatory staff education, assisting in scheduling and attendance tracking.
- Resident Information Management: Update resident data in the electronic health record system and manage access for new staff members.
- Clinic Coordination: Collaborate with the Director of Nursing to organize resident health clinics.
- Reference Management: Assist the nursing department in processing reference requests for nursing assistants.
Qualifications:
- Associate degree or a minimum of 5 years of relevant office experience.
- Proficient in computer applications, particularly in data entry and management software.
- Strong organizational skills and problem-solving capabilities.
- Professional demeanor with excellent communication skills.
- Ability to handle sensitive information with discretion.
- Previous experience in healthcare administration, particularly in assisted living, is preferred.
