Job Title: Service Coordinator - National Accounts

Job Summary: The Service Coordinator will ensure effective communication with customers, technicians, and internal staff regarding all aspects of Service Operations and National Accounts. This includes managing incoming service requests, scheduling technicians, processing purchase orders, generating quotes, and maintaining service history.

Key Responsibilities:

General Service Operations Duties:
  • Document service requests and capture all relevant details, including customer information, problem descriptions, and maintenance contract numbers when applicable.
  • Coordinate scheduling and dispatching of service calls to align with company standards for response times and contractual obligations.
  • Review prior service records to avoid duplicate entries and understand ongoing jobsite activities. Assess the urgency of service requests and note any special requirements.
  • Timely dispatch of technicians to optimize productivity and minimize downtime.
  • Maintain and update technician schedules in the CMS, ensuring the dispatch board reflects real-time information.
  • Oversee preventive maintenance inspections to ensure compliance with maintenance agreements.
  • Verify technician time and cost codes upon job completion.
  • Support service technicians with repair quotes, including parts availability and customer communication.
  • Manage two-person job assignments to ensure adequate manpower is utilized.
  • Provide weekly reports to the Service Supervisor regarding open time and materials, quotes, and preventive maintenance tasks.
  • Participate in emergency dispatch duties on a rotating schedule.
Specific Responsibilities for National Accounts:
  • Assist in the preparation of quotes by converting estimates into the National estimate template and drafting formal proposals.
  • Support new contract requests and Contract Change Directive (CCD) processes.
  • Facilitate project closeouts by ensuring all documentation meets account-specific requirements.
  • Assist with asset management reviews, focusing on account specifications such as make, model, and refrigerant type.
  • Oversee subcontractor work, including updates on No To Exceed amounts and generating purchase orders.
  • Perform additional duties related to National Accounts as required.
Qualifications:
  • Three to five years of experience in dispatching for a mechanical contractor is preferred.
  • Familiarity with standard contract language.
  • Experience with Computer Maintenance Systems, particularly Coins ERP+, is advantageous.
  • Proficient in Microsoft Office Suite 365 (Word, Excel, PowerPoint, Teams, Smartsheet, SharePoint).
  • Able to thrive in a fast-paced team environment.
Standard Hours: Monday to Friday, 8:00 am to 5:00 pm.
