Event Sales & Execution Manager

Reports To:
Director of Sales & Marketing / Director of Food & Beverage

Overview:

The Event Sales Manager is responsible for driving catering and room revenue by leveraging both proactive and reactive sales strategies. This role involves collaborating with property leadership to oversee the event team, ensuring the successful execution of memorable events.


Key Responsibilities:

Sales:


Develop a robust local client network through outreach, networking, and referrals across various market segments.

Conduct property tours and represent the venue at industry events.
Meet and exceed revenue and booking targets.

Prepare detailed reports for management, including sales performance and action plans.

Optimize profit margins and event space utilization in line with pricing strategies.
Manage the complete sales cycle from initial inquiries to payment confirmation and follow-up communications.
Draft and finalize sales agreements in collaboration with team members to ensure profitable outcomes.
Engage with clients post-event to gather feedback and secure future bookings.
Maintain comprehensive knowledge of services offered, addressing client inquiries promptly and effectively.

Utilize industry-standard software to:
Maintain client account records.
Document inquiries and daily activities.
Generate necessary reports.
Draft sales agreements.

Foster positive relationships with clients, groups, and other departments.
Manage client accounts, including tracking accounts receivable and ensuring accurate billing.

Event Management:
Ensure events are executed successfully, aligning with client expectations and company profitability standards.
Plan and oversee all in-house events.

Take charge of the entire event process, from client inquiries to payment and follow-up, including menu selection and setup.

Collaborate with the Director of Sales & Marketing, Food & Beverage Director, and Executive Chef to maximize profitability and space efficiency.

Utilize creativity to develop innovative setups, menus, and functions for various groups.
Support marketing initiatives for new business and sponsored events.
Lead the execution of all client events, ensuring smooth operations.
Implement efficient setup and teardown processes.
Engage with on-site contacts to assist with requests.
Provide hands-on management during events.
Supervise Event Captains and the Banquet & Catering team.
Ensure compliance with internal and external deadlines across departments.
Reconcile billing and ensure accuracy in financial reporting.

Qualifications:
Strong verbal and written communication skills.
Ability to work independently with minimal supervision.
In-depth knowledge of sales strategies and goal achievement.
Proficient in property management software for booking and tracking.
Understanding of the group sales process.
Capability to provide coaching and training.
Analytical problem-solving skills.
Adept at analyzing financial data and market trends.
Team-oriented with a collaborative spirit.
Demonstrates confidence, energy, and enthusiasm.
Ability to present information clearly and concisely.
Effective listening and conflict management skills.
Strong time management and prioritization abilities.
Excellent negotiation skills for mutually beneficial outcomes.
Proficient in computer applications, including accounting software and Microsoft Office Suite.
Must pass a background check.

Education:
High school diploma or equivalent required; Bachelor's Degree preferred.

Experience:
Minimum of two years in event sales, with at least one year in a hotel environment preferred.

Travel Requirements:
Occasional local travel for client meetings and networking events.
