Position Overview:
The Sales and Catering Coordinator plays a crucial role in supporting the Sales and Catering departments through various administrative and clerical tasks. This position is essential for ensuring seamless operations and delivering outstanding service to our clients.

Key Responsibilities:

  • Manage incoming telephone calls and email inquiries, responding with professionalism and efficiency.
  • Organize and distribute incoming mail and correspondence.
  • Stay updated on the latest software and technological advancements relevant to the role.
  • Ensure timely filing of all relevant documents and correspondence.
  • Draft and manage all departmental correspondence.
  • Maintain an adequate supply of office materials.
  • Oversee the daily operations of the office to ensure smooth functioning.
  • Document and distribute minutes from meetings.
  • Maintain a tracking system for follow-ups as necessary.
  • Prepare Banquet Event Orders (BEOs) tailored to client specifications.
  • Assist with the operations of the Business Center as required.
  • Support copying, faxing, and mailing tasks.
  • Welcome guests, clients, and employees with a friendly demeanor.
  • Participate in meetings and training sessions as directed by management.

Qualifications:

  • High School diploma or equivalent is required; experience in hospitality or a related field is preferred.
  • A minimum of 3 to 5 years of relevant experience is desirable.
  • Completion of college coursework in a related field is advantageous.
  • Proficiency in computer applications is essential.
  • Flexibility in working hours may be necessary.
  • Ability to lift and carry items weighing up to 20 pounds occasionally and up to 10 pounds frequently.
  • Maintain a warm and approachable demeanor at all times.
  • Effective verbal and written communication skills are required to interact with all levels of staff and guests.
  • Strong listening skills to understand and address concerns raised by guests and employees.
  • Ability to multitask and prioritize responsibilities to meet deadlines.
  • Approach all interactions with guests and employees in a courteous and service-oriented manner.
  • Attend all mandatory meetings and training sessions.
  • Consistently uphold high standards of personal appearance and grooming.
  • Adhere to company standards and regulations to promote safe and efficient operations.
  • Strive for productivity and assist in identifying and resolving issues.
  • Proficient in problem-solving, including anticipating and addressing potential challenges.
  • Ability to comprehend and apply complex information from various sources.
  • Willingness to cross-train in other hotel-related areas.
  • Maintain confidentiality of sensitive information.
  • Demonstrate initiative by anticipating operational needs.
  • Perform additional duties as assigned by management.
