Position Overview:
The Sales and Catering Administrative Assistant plays a vital role in ensuring the seamless operation of the Sales and Catering department. This position encompasses various clerical and administrative responsibilities, aimed at delivering exceptional service to our guests.

Key Responsibilities:

  • Manage incoming calls and email correspondence, responding appropriately.
  • Organize and distribute incoming mail efficiently.
  • Stay updated with the latest software and technological advancements relevant to the role.
  • Ensure timely filing of all essential documents and correspondence.
  • Draft and manage all departmental correspondence.
  • Maintain an adequate supply of office materials.
  • Oversee the smooth functioning of the office environment.
  • Document and circulate meeting minutes as required.
  • Maintain necessary tracking files.
  • Prepare Banquet Event Orders (BEOs) tailored to client specifications (Catering Only).
  • Assist with the daily operations of the Business Center as needed.
  • Support in copying, faxing, and mailing tasks.
  • Welcome guests, clients, and employees as necessary.
  • Participate in meetings and training sessions as mandated by management.

Qualifications:

  • High School diploma or equivalent is required; experience in hospitality or a related field is preferred.
  • A minimum of 3 to 5 years of progressive experience in a hotel or related field is advantageous.
  • Relevant college coursework is beneficial.
  • Proficient computer skills are necessary.
  • Flexibility in working hours may be required.
  • Ability to lift and carry up to 20 pounds occasionally and 10 pounds frequently.
  • Maintain a friendly and approachable demeanor at all times.
  • Effective verbal and written communication skills are essential.
  • Strong listening skills to understand and address concerns raised by employees and guests.
  • Ability to multitask and prioritize departmental responsibilities to meet deadlines.
  • Approach all interactions with guests and employees in a courteous and service-oriented manner.
  • Attend all required meetings and training sessions.
  • Adhere to high standards of personal appearance and grooming.
  • Comply with company standards and regulations to promote safe and efficient operations.
  • Maximize productivity and identify areas for improvement.
  • Proficient in problem-solving, including anticipating and addressing issues as they arise.
  • Ability to comprehend and apply complex information from various sources.
  • Willingness to cross-train in other hotel-related areas.
  • Maintain confidentiality of sensitive information.
  • Demonstrate initiative in anticipating guest and operational needs.
  • Perform additional duties as assigned by management.
