Executive Family Assistant – Part Time

Location: Rochester, NY (Travel Required)

JK Executive Strategies, LLC is seeking a dedicated Executive Family Assistant to support a prominent family within their Family Office.

The Executive Family Assistant will deliver confidential, high-level assistance to the Family Office. It is essential that the candidate is organized, detail-oriented, and possesses excellent communication abilities. This role demands a high level of professionalism and interpersonal skills to manage a variety of tasks with accuracy and a proactive mindset.

The ideal candidate must be open to travel, maintain confidentiality, be comfortable around pets, and be willing to work evenings and flexible hours as necessary.

Key Responsibilities

  • Utilize technology platforms to effectively manage the family's calendar and communicate plans to all family members and staff regularly.
  • Assist in monitoring bills and vendor activities in collaboration with the estate manager and bookkeeper.
  • Oversee correspondence, mail, and the home office filing system for the Family Office.
  • Support meal planning and coordinate with the Chef or catering service to ensure meals meet the family's preferences.
  • Shop for groceries and supplies as needed.
  • Run errands and provide transportation for family members and pets when required.
  • Schedule health and wellness appointments and coordinate caregiving schedules with medical professionals and service providers.
  • Assist the housekeeper in caring for family pets.
  • House sit when necessary (stay in the residence when the family is away).
  • Support other staff during family special events.
  • Coordinate special events and family travel arrangements with private charter services.
  • Perform additional duties as assigned.

Qualifications

  • High school diploma or equivalent; a college degree is preferred.
  • Demonstrated experience as a Personal Assistant, Executive Assistant, or in a similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Familiarity with office technology and applications (e.g., e-calendars, project management tools).
  • Exceptional organizational and time management capabilities.
  • Ability to prioritize tasks and manage multiple responsibilities effectively.
  • Excellent verbal and written communication skills.
  • Professional demeanor in person, over the phone, and in written correspondence.
  • Ability to handle confidential information with discretion and professionalism.
  • Willingness to work flexible hours and adapt to changing demands and priorities.
  • Strong problem-solving skills, with the ability to make independent decisions and anticipate needs proactively.
  • Strong interpersonal skills, capable of building positive relationships with family members, staff, and vendors.
  • Must be available during specified working hours and potentially outside of standard hours as needed.
  • Valid driver's license is required.
  • Must consistently maintain confidentiality and be willing to sign a non-disclosure agreement.

Compensation

  • $40/hour
