POSITION SUMMARY:

The Patient Registration Specialist will handle financial assessments, patient registration, and administrative tasks related to both direct and scheduled patient referrals. In this role, you will engage with patients and their families, collaborate with clinical teams, manage schedules, and ensure that vital information is accessible to clinical staff.

KEY RESPONSIBILITIES:

  • Collaborate with intake to verify that all documentation is complete and accurate.
  • Conduct financial assessments, manage registrations, and perform clerical duties related to patient setups.
  • Meet with patients or their caregivers to gather necessary information and documentation, providing clear explanations of processes and addressing any concerns.
  • Communicate effectively with intake, clinical staff, and other relevant personnel to share essential information.
  • Verify insurance benefits, obtain necessary precertifications/authorizations, and ensure medical necessity verification as required. Collect required payments, including co-pays and deductibles, or refer to financial counselors for follow-up.
  • Ensure that all necessary demographic, billing, and clinical information is accurately entered into the registration system in a timely manner.
  • Utilize team communication tools and texting functionalities.
  • Implement follow-up dates and maintain accountability to ensure all tasks are completed prior to patient appointments.
  • Demonstrate problem-solving abilities and escalate issues as needed.
  • Schedule patients for upcoming setups and mask fittings as required.
  • Manage reports and queues as directed.

ADDITIONAL RESPONSIBILITIES:

  • Deliver exceptional customer service while handling inbound calls and addressing requests.
  • Uphold patient confidentiality and rights at all times.
  • Adhere to all company policies and procedures, as well as governmental regulations and HIPAA standards.
  • Maintain a professional appearance and conduct at all times.
  • Utilize paid time off appropriately.

EDUCATION, EXPERIENCE, AND SKILLS REQUIRED:

  • High School Diploma or GED equivalent.
  • Strong communication skills, both verbal and written, with a focus on customer service.
  • Relevant experience in customer service.
  • Proven communication abilities.
  • Preferred: 1 year of experience in patient registration, scheduling, or related clerical/customer service roles within a medical office environment.
  • Ability to type accurately and efficiently.
  • Capable of managing multiple tasks for various customers in a fast-paced setting.
  • Strong problem-solving capabilities.
  • Ability to work effectively within a team.
  • Proficiency in MS Office applications.

SUPERVISORY RESPONSIBILITIES:

No supervisory responsibilities assigned.

PHYSICAL AND ENVIRONMENTAL REQUIREMENTS:

Standard office environment with minimal noise levels.
