Overview:

As the Conference and Event Manager, you will serve as the vital link between our clientele and the hotel operations team.

Your mission is to guarantee that events are meticulously planned and executed flawlessly by overseeing group and event sales bookings, maximizing revenue, and identifying upsell opportunities while positively influencing our guests, colleagues, and local communities.


Key Responsibilities:
  • Client Liaison: Engage directly with clients to ensure all event documentation is thoroughly prepared and finalized using the provided tools and systems.
  • Banquet Coordination: Manage the timely distribution of Banquet Event Orders (BEOs) in accordance with hotel deadlines.
  • Upselling & Client Communication: Present clients with potential upgrade options, secure necessary agreements and deposits, and maintain consistent communication regarding group arrangements.
  • Event Feedback & Management: Collaborate with hotel staff for pre-and post-event meetings, including BEO reviews, to ensure client satisfaction and gather feedback.
  • Room Management: Oversee guest room allocations to ensure compliance with contracts while maximizing revenue opportunities.
  • Payment Management: Oversee the complete client payment process, from initial deposits to final billing.
  • Booking & Documentation: Utilize hotel sales and catering software to meticulously document interactions and attach essential documents such as BEOs, payment forms, diagrams, and agendas.
  • Client Engagement: Organize on-site tours and virtual meetings with clients, ensuring presence during key event moments to address immediate needs.
  • Sales Support: Work alongside the Director of Events and Director of Sales & Marketing in various sales activities, including guiding site tours and managing BEO documentation.
  • Revenue Verification: Regularly audit banquet checks against the sales system to ensure accurate revenue posting.
  • Billing Oversight: Review the final bill upon event completion to ensure alignment with the group closing checklist for timely and accurate billing.
  • Commission and Loyalty Management: Process commission payments and award loyalty points to meeting planners while addressing discrepancies.
  • Meeting Participation: Actively participate in BEO, Group Resume, Pre-Con, Post-Con, and Group Scrub Meetings, prepared to discuss specifics of assigned groups.

Qualifications:
  • Required Experience: Minimum of two (2) years in Conference & Event servicing or related hotel Event Services, Banquet, or Group Sales experience.
  • Preferred Experience: Experience in Group and/or Local Social Event market segments.
  • Required Education: High school diploma or equivalent.
  • Preferred Education: Bachelor's degree in Business Administration, Marketing, Hotel and Restaurant Management, or a related field.
  • Required Technology: Proficient in Microsoft Office.
  • Preferred Technology: Experience with industry-specific sales and catering programs.
  • Travel: Less than 20% travel requirement.
  • Physical: Ability to sit for extended periods and perform computer work.
  • Other: Excellent written and verbal communication skills.

Compensation:
$22.00/hour
