Job Overview

Kovitz Shifrin Nesbit (KSN) is expanding its team. We are currently seeking a dedicated and professional full-time Office Administrative Coordinator. Key Responsibilities:

  • Collaborate with the Front Desk Clerk to oversee firm-wide administrative functions.
  • Manage document scanning and profiling within the document management system.
  • Conduct inspections and oversee office inventory; confirm deliveries and restock supplies as needed.
  • Provide general administrative support, including scanning, copying, filing, and preparing documents for mailing.
  • Coordinate service requests with contractors and vendors.
  • Distribute incoming mail and assist with monthly mailing projects as required.
  • Sort and dispatch all outgoing mail daily; responsible for delivering mail to the post office.
  • Organize and replenish supplies in kitchens, conference rooms, and mailrooms.
  • Maintain accurate lists and reports related to inventory and vendor contacts.
  • Offer administrative assistance to the Executive Director and HR Manager.
  • Manage catering requests for meetings and office events.
  • Set up and dismantle office workstations for new hires and departures.
  • Assist in coordinating office events as needed.
  • Run local errands for the office as necessary.
  • Perform dishwashing duties as required.
  • Carry out additional tasks as assigned.

Required Skills and Qualifications:

  • Proficient in Microsoft Office Suite, with intermediate skills in Outlook, Word, and Excel.
  • Exemplary telephone etiquette; professional, courteous, and friendly demeanor; strong verbal and written communication skills.
  • Outstanding interpersonal and customer service abilities.
  • Exceptional organizational skills, attention to detail, and accuracy are essential for this role.
  • Strong time management skills with a proven ability to multitask and meet deadlines.
  • Demonstrated initiative and strong analytical and problem-solving capabilities.
  • Ability to focus on responsibilities and deadlines in a fast-paced, high-volume environment.
  • Willingness to learn specialized software utilized by the firm.

Education and Experience:

  • A 4-year college degree is preferred; a high school diploma or equivalent is required.
  • Prior experience in general administrative office work is preferred.

Physical Requirements:

  • Ability to sit for extended periods while working at a computer.
  • Must be able to lift up to 40 lbs. as necessary.
