Office Administrative Coordinator

Kovitz Shifrin Nesbit (KSN) is expanding its team. We are currently seeking a dedicated and professional full-time Office Administrative Coordinator. The ideal candidate will exhibit a friendly demeanor, exceptional multitasking abilities, and a strong focus on efficiency. This role demands a physically capable, detail-oriented, and highly motivated individual who can thrive in a dynamic environment.
Key Responsibilities:
- Collaborate with the Front Desk Clerk to oversee firm-wide administrative functions.
- Manage document scanning and profiling within the document management system.
- Conduct inspections and oversee office inventory; confirm deliveries and restock supplies as needed.
- Provide general administrative support, including scanning, copying, filing, and preparing documents for mailing.
- Coordinate service requests with contractors and vendors.
- Distribute incoming mail and assist with monthly mailing projects as required.
- Sort and dispatch all outgoing mail daily; responsible for delivering mail to the post office.
- Organize and replenish supplies in kitchens, conference rooms, and mailrooms.
- Maintain accurate lists and reports related to inventory and vendor contacts.
- Offer administrative assistance to the Executive Director and HR Manager.
- Manage catering requests for meetings and office events.
- Set up and dismantle office workstations for new hires and departures.
- Assist in coordinating office events as needed.
- Run local errands for the office as necessary.
- Perform dishwashing duties as required.
- Carry out additional tasks as assigned.
Required Skills and Qualifications:
- Proficient in Microsoft Office Suite, with intermediate skills in Outlook, Word, and Excel.
- Exemplary telephone etiquette; professional, courteous, and friendly demeanor; strong verbal and written communication skills.
- Outstanding interpersonal and customer service abilities.
- Exceptional organizational skills, attention to detail, and accuracy are essential for this role.
- Strong time management skills with a proven ability to multitask and meet deadlines.
- Demonstrated initiative and strong analytical and problem-solving capabilities.
- Ability to focus on responsibilities and deadlines in a fast-paced, high-volume environment.
- Willingness to learn specialized software utilized by the firm.
Education and Experience:
- A 4-year college degree is preferred; a high school diploma or equivalent is required.
- Prior experience in general administrative office work is preferred.
Physical Requirements:
- Ability to sit for extended periods while working at a computer.
- Must be able to lift up to 40 lbs. as necessary.
