Overview

The Lead Clinical Administrative Coordinator plays a crucial role in providing comprehensive administrative support while delivering exceptional customer service. This position involves managing patient schedules, overseeing multiple calendars, and coordinating surgical and infusion procedures. The coordinator is responsible for designing, analyzing, and maintaining master schedules, and may oversee special projects or direct the work of other administrative staff, including temporary and volunteer personnel.

Key Responsibilities

  • Answer incoming calls, screen and direct inquiries, provide directions, and take messages as needed.
  • Manage patient scheduling, oversee calendar management, and coordinate surgical procedures and ancillary services.
  • Design and analyze master schedules, ensuring efficient use of resources.
  • Maintain and track patient charts, providing scribing and administrative support to clinical teams as required.
  • Compose and edit various documents, including letters, reports, and grant applications.
  • Create and manage forms, spreadsheets, tables, charts, databases, and presentation slides.
  • Perform file and record management, preparing and organizing departmental patient records.
  • Complete and process a variety of reports, forms, and reimbursement requests, ensuring all authorizations and pre-certifications are obtained.
  • Facilitate on-the-job training for new staff members and contribute to performance evaluations.
  • Organize meetings, create agendas, and take minutes to ensure effective communication.
  • Coordinate conferences and meetings, including travel arrangements as necessary.
  • Manage budget tracking and record-keeping, addressing billing concerns and resolving patient billing issues.
  • Prepare grant proposals and negotiate contracts with external parties.
  • Perform additional duties as assigned to support the team and organization.

Qualifications

  • High School diploma with a minimum of 3 years of relevant administrative support experience or equivalent.
  • Demonstrated experience in public-facing roles is essential.
  • Familiarity with medical terminology is preferred.
  • Proficiency in PC-based word processing, spreadsheet applications, and presentation software.
  • Exceptional communication and interpersonal skills are required.
  • Previous experience in a healthcare environment is advantageous.
