As a vital member of our healthcare team, the Healthcare Administrative Coordinator is responsible for managing and overseeing the flow of patient referrals and appointments. This role involves direct interaction with patients, staff, and external providers to ensure seamless communication and service delivery.
Key Responsibilities
- Handles incoming patient inquiries, providing essential information and support.
- Welcomes patients upon arrival, assisting with necessary documentation and addressing any concerns.
- Evaluates the needs of patients without scheduled appointments and facilitates their requests for prescriptions or consultations.
- Conducts daily reviews of appointment schedules for accuracy and necessary adjustments, ensuring optimal patient flow.
- Follows up on patient needs as indicated in the After Visit Summary, including scheduling further appointments and tests.
- Receives and manages phone calls from various stakeholders, efficiently processing requests and scheduling as needed.
- Regularly monitors system messages and incoming faxes to ensure timely responses to patient needs.
- Completes necessary authorizations and pre-certifications for external procedures, ensuring compliance with insurance requirements.
- Reviews provider schedules at the end of each day to identify patients needing follow-up and processes appropriate communications.
- Assists providers and staff in addressing patient inquiries and concerns, offering guidance on effective communication strategies.
- Observes the waiting area for patients in distress, responding to minor issues and escalating concerns as necessary.
- Manages multiple in-basket messages, prioritizing and routing them appropriately while completing assigned tasks.
- Acts as a liaison between primary care providers and specialists, facilitating effective referral management.
- Monitors referral queues, ensuring timely processing and tracking of both internal and external referrals.
- Implements and adheres to organizational policies and procedures, contributing to initiatives aimed at enhancing referral management.
- Handles daily mail distribution and completes necessary administrative checks as required.
- Performs additional duties as assigned.
- High school diploma or equivalent with at least one year of experience in a healthcare setting.
- Familiarity with insurance benefits and medical terminology is essential.
- Strong interpersonal skills for effective interaction with patients, providers, and insurance representatives.
- Ability to manage multiple tasks efficiently.
- Proficient in computer usage, with excellent communication skills and attention to detail.
