Position Overview
The role involves providing comprehensive administrative support while engaging in a variety of customer service-related tasks. Responsibilities include managing patient appointments, overseeing multiple schedules, and coordinating surgical and infusion procedures. This position may also entail directing special projects and supervising the work of other staff members, including temporary help and volunteers.
Key Responsibilities
- Manage incoming calls, directing inquiries appropriately and taking messages as needed.
- Schedule patient appointments and manage various calendars, including surgical and ancillary services.
- Design and coordinate master schedules to ensure efficient operations.
- Maintain and track patient charts, providing administrative support to clinical personnel as necessary.
- Draft and edit various documents, including letters, reports, and correspondence.
- Create and manage forms, spreadsheets, and presentations to support departmental functions.
- Oversee file management and prepare patient records, ensuring accuracy and compliance.
- Process reports and forms, including obtaining necessary authorizations.
- Train new staff members and contribute to performance evaluations.
- Organize meetings, prepare agendas, and document minutes.
- Coordinate travel arrangements and manage conference logistics.
- Handle budget tracking and maintain financial records, addressing billing inquiries and managing petty cash.
- Assist in grant preparation and contract negotiations.
- Perform additional duties as assigned.
Qualifications
- High School diploma with a minimum of 3 years of relevant administrative experience.
- Demonstrated experience in customer service.
- Familiarity with medical terminology is advantageous.
- Proficient in word processing, spreadsheets, and presentation software.
- Strong communication and interpersonal skills are essential.
- Previous experience in a healthcare environment is preferred.
