Job Summary:

We are seeking an experienced Administrative Assistant to join our Human Resources team at the University of Kansas Medical Center. As the first point of contact for employees and visitors, you will provide exceptional customer service, answer phone calls, respond to emails, and direct visitors to the appropriate HR team members. This is a full-time, hourly position with a competitive pay range of $35.09 - $24.20 - $29.64 - $35.09.

Key Responsibilities:

  • Provide excellent customer service by greeting each person in a professional and courteous manner, listening and answering questions, researching to find answers when needed, and referring customers to the appropriate person for resolution.
  • Complete initial and re-verifications of I-9s, complete E-Verify actions, and ensure immigration administration and documents are in compliance with applicable policies and regulatory requirements.
  • Answer basic HR questions for employees in a variety of areas, including benefits and timekeeping.
  • Maintain electronic personnel files in compliance with applicable policies and regulatory requirements, scan all documents into online software, and handle each document with a high degree of confidentiality.
  • Receive and handle mail, distribute to other HR teams as appropriate, and assist with outgoing mail as needed.
  • Coordinate with the Executive Assistant regarding ordering office supplies and stocking or organizing items as directed.
  • Provide administrative assistance and/or project support to other HR teams when requested.
  • Participate in supporting employee appreciation events and other related HR-sponsored events and activities.
Requirements:

Education: High School diploma or equivalent.

Work Experience:
  • 1-2 years of administrative assistant experience that includes reception duties.
  • Experience handling confidential and sensitive issues or documents.
  • Computer experience, especially Microsoft Office (e.g., Outlook, Word, Excel, PowerPoint).
  • Customer service experience.
Preferred Qualifications:

Education: Bachelor's degree in a business-related field.

Work Experience:
  • Experience using Workday or similar HRIS.
  • Experience in healthcare or higher education workplaces.
  • Experience with I9s, E-Verify, and/or employment visas.

Benefits:
