Job Summary

This position is responsible for providing exceptional customer service to prospective and current students, staff, and community members. The Administrative Assistant will be the first point of contact for the Adult and Continuing Education department, ensuring a welcoming and inclusive environment for all visitors.

Key Responsibilities
  • Provide high-quality customer service to students, staff, and community members, responding to inquiries and resolving issues in a timely and professional manner.
  • Manage front-line communications, including answering phone calls, responding to emails, and greeting visitors.
  • Assist with student enrollment, including navigating and technical assistance, and enrolling students in adult and community education classes.
  • Perform administrative tasks, such as filing, maintaining inventory, and ordering office supplies.
  • Support the maintenance of the Lumens database and run reports as needed.
  • Notify students of cancelled classes and drop and refund students from class.
  • Maintain instructor and student packets for classes.
  • Receive money during enrollment periods and follow appropriate protocols for safekeeping.
  • Perform other duties as assigned.
Requirements
  • High School diploma or GED equivalent.
  • Two (2) years of customer service experience.
  • Bilingual- English & Spanish.
Preferred Qualifications
  • Associate degree or higher.
  • Experience working in a professional office setting.
  • Experience working with Student Management Systems.
Work Schedule
Up to 29 hours per week, during regular hours of Monday - Thursday, 8:00 AM - 2:30 PM, Friday, 8:00 AM - 1:30 PM. Must be able to work a variable schedule/hour to meet operational needs. May require evening and/or weekend hours.
